Above Screen Components

Title Bar, Harizontal Button bar, Close button,Gateway of Tally,Buttons toolbar, CalculatorArea, Info panel.

While Working with TallyERP 9, use the following conventions: Mouse /Keyboard Conventions

ActionParticulars
ClickPress the left mouse button.
Double-clickPress and release the left mouse button twice, without moving the mouse pointer off the item
ChoosePosition the mouse pointer on the item and click the left mouse button
SelectPosition the mouse pointer on the item and doubleclick the left mouse button.
PressUse the keys on the keyboard in the combination shown
FnPress the function key.
FnPress ALT + function key
FnPress CTRL + function key

Switching between Screen Areas:

When Tally.ERP 9 first loads, the Gateway of Tally screen displays. To toggle between this screen and the Calculator/ ODBC server area at the bottom of the screen, press Ctrl+N or Ctrl+M as indicated on the screen. A green bar highlights the active area of the screen.

Quitting Tally.ERP 9 :-

You can exit the program from any Tally.ERP 9 screen, but Tally.ERP 9 requires all screens to be closed before it shuts down

Following ways to quit working on Tally.ERP 9

1. Press Esc until you see the message Quit? Yes or No ? Press Enter or Y, or click Yes to quit Tally.ERP 9. 2. Alternatively, to exit without confirmation, press Ctrl+Q from Gateway of Tally. 3. You can also press Enter while the option Quit is selected from Gateway of Tally.

1). Creation of a Company:-

Go to Gateway of Tally > Company Info. > Create Company Or from the buttons bar select by using mouse Company Info. Or Alt +F3 to bring up the Company Info Menu

To Select a Company:-

Go to the Gateway of Tally > Alt + F3 > Company Info. > Select Company OR Press F1.

To Alter Company Details :-

Go to the Gateway of Tally > Alt + F3 > Company Info. >Alter

To Shut a Company :-

Go to the Gateway of Tally > Alt + F3 > Company Info. > Shut Company Or Alt +F1

3). F12: Configurations:-

In Tally.ERP 9, the F12: Configurations are provided for Accounting, Inventory & printing options and are user-definable as per your requirements.

The F12: Configuration options vary depending upon the menu display. i.e., if you press F12: configure from Voucher entry screen, the respective F12: Configurations screen is displayed.

6). Voucher Entry in Tally ERP 9 :-

Accounting Vouchers:-

Tally .ERP9 is Pre-Programmed variety of accounting Vouchers, each designed to perform a different Job. The Standard Accounting Vouchers are –

  • Gateway of Tally > Accounting Vouchers> F4:Contra
  • Payment Voucher (F5):- All payment entry in Payment Voucher
  • Receipt Voucher (F6):- All Receipt entry maid in Receipt Voucher
  • Journal Voucher(F7) :- All Journal Voucher used for other than cash/bank and Purchase of Goods & Sales of Goods
  • Sales Voucher /Invoice (F8) :- The Sales Voucher used all cash bank Sales
  • Credit Note Voucher (Ctrl+F8):- All Sales Return transactions here entered.
  • Purchase Voucher (F9):- Cash or Credit Purchase entry made here.
  • Reversing Journals (F10):-Reversing Journals are special Journals that are automatically reversed after a specified date. Gateway of Tally +F11 >F1: Accounting Feature –Use Reversing Journal & Optional Vouchers –Yes.

You can use the Memorandum Vouchers for:

  • Payments towards suspense accounts – consider a company gives its employee cash for Conveyance expenses, the exact nature and cost of which are unknown. For such transactions, you can enter a voucher for the petty cash advance. A voucher to record the actual expenditure details when they are known, and another voucher to record the return of surplus cash. However, a simpler way of doing it is to enter a Memo voucher when the cash is advanced, and then turn it into a Payment voucher for the actual amount spent, when the actual details are known.
  • Vouchers not verified at the time of entry – if you do not understand the details of a voucher you are entering, you can enter it as a Memo voucher and amend it later when the details are available.
  • Items given on approval – Generally completed sales are entered into books. In case items are given on approval, use a Memo voucher to track and convert it into a proper Sales voucher. You can delete the memo voucher if the sale is not made.

7). Trade Discounts:-

If we want a separate column for discount in Invoices :-

  • To activate Separate Discount Column in Invoice-

Gate Way of Tally-Press F11-Features-F2 for Inventory Features-

  • Activate -Separate Discount Column in Invoice Set as –Yes

Use Different Actual & Billed Quantity

  • When there is difference between Quantities purchase/sold and delivered,we have to specify quantities, at the time of invoicing.
  • Example. We have delivered 4 T-Sharts out of which 1 T-Shirt free.then we will issue a bill for 3-T-Shirts.
  • Active – Use Separate actual and billed quantity Columns as –Yes

Zero Valued Entries in Voucher:-

It is useful Free Samples -in Purchase or Sales vouchers time

Activate – Enable Zero-Valued transactions- Set –Yes

8). Cost Centres:-

Example of Cost Centre are –

  • Department of an orgation-Finance,Manufacturing,Marketing,HR,Admin Etc
  • Product/Service of a Company-Product X,Product Y, Product Z
  • Individual such as Salesman -1,Salesman 2
  • Go to Gateway of Tally > Press F11 Features- F1 for Accounting Features-
  • Activate-Maintain Cost Centre-To Yes > Maintain more than one cost category to Yes and Accept the features

This is a pure  service industry and there is no inventory as such, they have specific billing requirements and have a rebate of 60% to 75% even this is changeable. We will take a case where a booking is done by a customer for traveling, food and other expense. We will charge all of that and in addition to that charge a service tax. Now there is a rebate of 60% in this department. If you have a greater rebate, you can mention that with the SL/Notification number and can avail that abatement. We have taken the customer by the name of Traveller. Now when the customer comes to us, we do the booking of this – this is a sales order for us.

Let us consider different scenarios to understand the Request and Response XML structure.

o Request to Export Data and Corresponding response

Request to Export Data and Corresponding Response

Tags used for sending a request to export data from Tally.ERP 9 <HEADER> contains the following:

● Tag < TALLYREQUEST > must contain value Export

● Tag < TYPE > must contain value Data and

● Tag < ID > should contain the Name of the TDL Report

< BODY > contains the following:

● Tag < DESC > can contain report settings like Company Name, Format, etc. as desired which should be enclosed within < STATICVARIABLES > tag.

● If the Report Name specified in the <ID> tag does not exist within Tally running at the spec-ified port, the TDL defining the Report & other supporting definition needs to be described and enclosed within tag <TDL>.

In the above XML request, < HEADER > describes the expected result.

● The value of the Tag < TALLYREQUEST > is Export which indicates that some information needs to be exported from Tally.

● The value of the Tag < TYPE > is Data which indicates that the data needs to be exported from Tally.

● The value of the Tag < ID > must be a TDL Report Name, if the previous Tag <TYPE> contains Data and Tag < TALLYREQUEST > contains Export. Any Report which needs to be exported from Tally can be specified within this Tag.

< BODY > tag contains parameters, if any. Additional settings for the report like format required, company from which data is required, etc. can be passed within < STATICVARIABLES > Tag enclosed within < DESC > Tag. All variables are considered as Tag Names and their value are enclosed within these tags. For example , in the above XML, variables SVEXPORTFORMAT and EXPLODEFLAG are considered as Tags and their respective values $$SysName:XML and Yes are enclosed within. TDL Internal Function SysName is evaluated at Tally end and the response is being sent accordingly.

In the <BODY> Tag within < DESC > Tag, an additional tag < TDL > must be specified with the TDL describing the Report and its components enclosed within Tag < TDLMESSAGE >.

● The < BODY > Tag contains description within <DESC> Tag which requires all info pertaining to the Object required.

For sending a request to export an Object Info from Tally,<HEADER> contains the following

● Tag <TYPE> must contain value Object

● Tag <SUBTYPE> must contain the Type of Object and

● Tag <ID> should contain the Object Identifier

<BODY> contains the following within <DESC> Tag

● Settings like Company Name, Format to be exported, etc. as desired enclosed within <STATICVARIABLES> Tag.

● Methods that need to be retrieved within the <FETCHLIST> Tag under each <FETCH> Tag.

● External Methods, if any, must be specified within <LOCAL FORMULA> Tag enclosed within <OBJECT> Tag.

● Above Local Formula, if dependent on any Local or Global Formula needs to be specified

Request for an Object info in XML Format from Tally.ERP 9

For sending a request to export Collection data from Tally, <HEADER> contains the following

● Tag < TYPE > must contain value Collection

● Tag < ID > should contain the Collection Name which is being described within the <DESC> Tag

● Tag < DESC > can contain settings like Company Name, Format, etc. as desired which should be enclosed within < STATICVARIABLES > tag.

● Collection declared within the < HEADER > tag < TYPE > must be defined within < TDLMESSAGE > tag under < TDL > tag.

● All the TDL Collection Attributes must be specified as tags and their respective values within the relevant tag.

Request To Export Function & Corresponding Response

For sending a request to evaluate the result of Function from Tally.ERP 9 < HEADER > contains the following

● Tag < TYPE > must contain value Function

● Tag < ID > should contain the Function which is being described within the <DESC> Tag within the Tag < BODY >

● < BODY > contains the following:

● Tag < DESC > can contain settings like Company Name, Format, etc. as desired which should be enclosed within < STATICVARIABLES > Tag.

Request for evaluating function in Tally without parameter

<TYPE>FUNCTION</TYPE>

<ID>$$NumStockItems</ID>

● The value of the Tag < TYPE > is Function which indicates that some Function needs to be evaluated within Tally and some value is returned as a response in XML.

● The value of the Tag < ID > must contain the Function Name prefixed with $$ since Function in TDL is activated by $$.

● Each parameter must be enclosed within <PARAM> Tag.

● Parameters must follow exactly in the order required by the Function which is specified in the <ID> Tag.

● Dependency, if any i.e., Global/System Formula must be defined with <TDLMESSAGE> Tag under Tag <TDL>.

The above response has been generated from Tally based on the request specified. <DATA> Tag contains the <RESULT> Tag which holds the result after function evaluation.

Request to Import Data and Corresponding Response

Tally can import data objects either in the form of a Master or Voucher. <HEADER> contains the following:

● Tag < TALLYREQUEST > must contain value Import

● Tag < ID > should contain the Import TDL Report i.e., either All Masters or Vouchers.

<BODY> contains the following

● Tag <DESC> can contain report settings like Company Name, behavior of Import in case of duplicates found; as desired which should be enclosed within <STATICVARIABLES> Tag.

● Tag <DATA> must contain the XML Data Fragment within Tag <TALLYMESSAGE> that needs to be imported

Request for importing Master data in Tally

In the above XML Request, Create action is used. Any of the following system formulae can be used to choose the required behaviour in case the system encounters a ledger with the same name. The behavior is for the treatment of the Opening Balance which is being imported. DupModify specifies that the current Opening Balance should be modified with the new one that is being imported.

DupIgnoreCombine specifies that the ledger if exists need to be ignored. DupCombine specifies the system to combine both the Opening Balances. Ideally, this option is used when Data pertaining to Group Companies are merged together into a single company. On processing the above request for importing ledgers, the requested ledgers are created in Tally and the following response is received:

The above XML Response is a log of vouchers created, altered, combined, ignored or not imported due to some errors. It also contains information pertaining to last Voucher ID imported.

Request for importing Voucher in Tally (Voucher Alteration)

In case of Voucher Alteration, Cancellation or Deletion, vital information required is the voucher identifier. Identification of Voucher can be direct Methods within Voucher Object. For example, Master ID, Voucher Number, Reference, Narration, etc. Specifying Voucher Date is mandatory.

● Tag <ID> should contain the Name of the TDL Action

As of now only Sync action is introduced. For sync no parameters are required.

● The value of the Tag <ID> must be a TDL Action Name. Any action which needs to be executed in Tally can be specified within this Tag.

Ensure the following while executing the sync action:

♦ All synchronization setup has to be done at server end as well as client end

♦ Set the Option Enable ODBC server in Advanced configuration to Yes

♦ Pass the Request from the client end only
