For many people the thought of delivering a presentation is a daunting task and brings about a  great deal of nerves . However, if you take some time to understand how effective presentations are structured and then apply this structure to your own presentation, you’ll appear much more confident and relaxed.

Why is structuring a presentation so important?

If you’ve ever sat through a great presentation, you’ll have left feeling either inspired or informed on a given topic. This isn’t because the speaker was the most knowledgeable or motivating person in the world. Instead, it’s because they know how to structure presentations – they have crafted their message in a logical and simple way that has allowed the audience can keep up with them and take away key messages.

Research has supported this, with studies showing that audiences retain structured information  40% more accurately  than unstructured information.

In fact, not only is structuring a presentation important for the benefit of the audience’s understanding, it’s also important for you as the speaker. A good structure helps you remain calm, stay on topic, and avoid any awkward silences.

What will affect your presentation structure?

Generally speaking, there is a natural flow that any decent presentation will follow which we will go into shortly. However, you should be aware that all presentation structures will be different in their own unique way and this will be due to a number of factors, including:

  • Whether you need to deliver any demonstrations
  • How  knowledgeable the audience  already is on the given subject
  • How much interaction you want from the audience
  • Any time constraints there are for your talk
  • What setting you are in
  • Your ability to use any kinds of visual assistance

Before choosing the presentation’s structure answer these questions first:

  • What is your presentation’s aim?
  • Who are the audience?
  • What are the main points your audience should remember afterwards?

When reading the points below, think critically about what things may cause your presentation structure to be slightly different. You can add in certain elements and add more focus to certain moments if that works better for your speech.

What is the typical presentation structure?

This is the usual flow of a presentation, which covers all the vital sections and is a good starting point for yours. It allows your audience to easily follow along and sets out a solid structure you can add your content to.

1. Greet the audience and introduce yourself

Before you start delivering your talk, introduce yourself to the audience and clarify who you are and your relevant expertise. This does not need to be long or incredibly detailed, but will help build an immediate relationship between you and the audience. It gives you the chance to briefly clarify your expertise and why you are worth listening to. This will help establish your ethos so the audience will trust you more and think you’re credible.

2. Introduction

In the introduction you need to explain the subject and purpose of your presentation whilst gaining the audience’s interest and confidence. It’s sometimes helpful to think of your introduction as funnel-shaped to help filter down your topic:

  • Introduce your general topic
  • Explain your topic area
  • State the issues/challenges in this area you will be exploring
  • State your presentation’s purpose – this is the basis of your presentation so ensure that you provide a statement explaining how the topic will be treated, for example, “I will argue that…” or maybe you will “compare”, “analyse”, “evaluate”, “describe” etc.
  • Provide a statement of what you’re hoping the outcome of the presentation will be, for example, “I’m hoping this will be provide you with…”
  • Show a preview of the organisation of your presentation

In this section also explain:

  • The length of the talk.
  • Signal whether you want audience interaction – some presenters prefer the audience to ask questions throughout whereas others allocate a specific section for this.
  • If it applies, inform the audience whether to take notes or whether you will be providing handouts.

The way you structure your introduction can depend on the amount of time you have been given to present: a  sales pitch  may consist of a quick presentation so you may begin with your conclusion and then provide the evidence. Conversely, a speaker presenting their idea for change in the world would be better suited to start with the evidence and then conclude what this means for the audience.

Keep in mind that the main aim of the introduction is to grab the audience’s attention and connect with them.

3. The main body of your talk

The main body of your talk needs to meet the promises you made in the introduction. Depending on the nature of your presentation, clearly segment the different topics you will be discussing, and then work your way through them one at a time – it’s important for everything to be organised logically for the audience to fully understand. There are many different ways to organise your main points, such as, by priority, theme, chronologically etc.

  • Main points should be addressed one by one with supporting evidence and examples.
  • Before moving on to the next point you should provide a mini-summary.
  • Links should be clearly stated between ideas and you must make it clear when you’re moving onto the next point.
  • Allow time for people to take relevant notes and stick to the topics you have prepared beforehand rather than straying too far off topic.

When planning your presentation write a list of main points you want to make and ask yourself “What I am telling the audience? What should they understand from this?” refining your answers this way will help you produce clear messages.

4. Conclusion

In presentations the conclusion is frequently underdeveloped and lacks purpose which is a shame as it’s the best place to reinforce your messages. Typically, your presentation has a specific goal – that could be to convert a number of the audience members into customers, lead to a certain number of enquiries to make people knowledgeable on specific key points, or to motivate them towards a shared goal.

Regardless of what that goal is, be sure to summarise your main points and their implications. This clarifies the overall purpose of your talk and reinforces your reason for being there.

Follow these steps:

  • Signal that it’s nearly the end of your presentation, for example, “As we wrap up/as we wind down the talk…”
  • Restate the topic and purpose of your presentation – “In this speech I wanted to compare…”
  • Summarise the main points, including their implications and conclusions
  • Indicate what is next/a call to action/a thought-provoking takeaway
  • Move on to the last section

5. Thank the audience and invite questions

Conclude your talk by thanking the audience for their time and invite them to  ask any questions  they may have. As mentioned earlier, personal circumstances will affect the structure of your presentation.

Many presenters prefer to make the Q&A session the key part of their talk and try to speed through the main body of the presentation. This is totally fine, but it is still best to focus on delivering some sort of initial presentation to set the tone and topics for discussion in the Q&A.

Demonstration

Use the demonstration structure when you have something useful to show. This is usually used when you want to show how a product works. Steve Jobs frequently used this technique in his presentations.

  • Explain why the product is valuable.
  • Describe why the product is necessary.
  • Explain what problems it can solve for the audience.
  • Demonstrate the product  to support what you’ve been saying.
  • Make suggestions of other things it can do to make the audience curious.

Problem-solution

This structure is particularly useful in persuading the audience.

  • Briefly frame the issue.
  • Go into the issue in detail showing why it ‘s such a problem. Use logos and pathos for this – the logical and emotional appeals.
  • Provide the solution and explain why this would also help the audience.
  • Call to action – something you want the audience to do which is straightforward and pertinent to the solution.

Storytelling

As well as incorporating  stories in your presentation , you can organise your whole presentation as a story. There are lots of different type of story structures you can use – a popular choice is the monomyth – the hero’s journey. In a monomyth, a hero goes on a difficult journey or takes on a challenge – they move from the familiar into the unknown. After facing obstacles and ultimately succeeding the hero returns home, transformed and with newfound wisdom.

Another popular choice for using a story to structure your presentation is in media ras (in the middle of thing). In this type of story you launch right into the action by providing a snippet/teaser of what’s happening and then you start explaining the events that led to that event. The remaining method structure is good for situations where you’re presenting your perspective on a controversial topic which has split people’s opinions.

  • Go into the issue in detail showing why it’s such a problem – use logos and pathos.
  • Rebut your opponents’ solutions  – explain why their solutions could be useful because the audience will see this as fair and will therefore think you’re trustworthy, and then explain why you think these solutions are not valid.
  • After you’ve presented all the alternatives provide your solution, the remaining solution. This is very persuasive because it looks like the winning idea, especially with the audience believing that you’re fair and trustworthy.

Transitions

When delivering presentations it’s important for your words and ideas to flow so your audience can understand how everything links together and why it’s all relevant. This can be done  using speech transitions  which are words and phrases that allow you to smoothly move from one point to another so that your speech flows and your presentation is unified.

Transitions can be one word, a phrase or a full sentence – there are many different forms, here are some examples:

Moving from the introduction to the first point

Signify to the audience that you will now begin discussing the first main point:

  • Now that you’re aware of the overview, let’s begin with…
  • First, let’s begin with…
  • I will first cover…
  • My first point covers…
  • To get started, let’s look at…

Shifting between similar points

Move from one point to a similar one:

  • In the same way…
  • Likewise…
  • Equally…
  • This is similar to…
  • Similarly…

Internal summaries

Internal summarising consists of summarising before moving on to the next point. You must inform the audience:

  • What part of the presentation you covered – “In the first part of this speech we’ve covered…”
  • What the key points were – “Precisely how…”
  • How this links in with the overall presentation – “So that’s the context…”
  • What you’re moving on to – “Now I’d like to move on to the second part of presentation which looks at…”

Physical movement

You can move your body and your standing location when you transition to another point. The audience find it easier to follow your presentation and movement will increase their interest.

A common technique for incorporating movement into your presentation is to:

  • Start your introduction by standing in the centre of the stage.
  • For your first point you stand on the left side of the stage.
  • You discuss your second point from the centre again.
  • You stand on the right side of the stage for your third point.
  • The conclusion occurs in the centre.

Key slides for your presentation

Slides are a useful tool for most presentations: they can greatly assist in the delivery of your message and help the audience follow along with what you are saying. Key slides include:

  • An intro slide outlining your ideas
  • A  summary slide  with core points to remember
  • High quality image slides to supplement what you are saying

There are some presenters who choose not to use slides at all, though this is more of a rarity. Slides can be a powerful tool if used properly, but the problem is that many fail to do just that. Here are some golden rules to follow when using slides in a presentation:

  • Don’t over fill them  – your slides are there to assist your speech, rather than be the focal point. They should have as little information as possible, to avoid distracting people from your talk.
  • A picture says a thousand words  – instead of filling a slide with text, instead, focus on one or two images or diagrams to help support and explain the point you are discussing at that time.
  • Make them readable  – depending on the size of your audience, some may not be able to see small text or images, so make everything large enough to fill the space.
  • Don’t rush through slides  – give the audience enough time to digest each slide.

Guy Kawasaki, an entrepreneur and author, suggests that slideshows should follow a  10-20-30 rule :

  • There should be a maximum of 10 slides – people rarely remember more than one concept afterwards so there’s no point overwhelming them with unnecessary information.
  • The presentation should last no longer than 20 minutes as this will leave time for questions and discussion.
  • The font size should be a minimum of 30pt because the audience reads faster than you talk so less information on the slides means that there is less chance of the audience being distracted.

Group Presentations

Group presentations are structured in the same way as presentations with one speaker but usually require more rehearsal and practices.  Clean transitioning between speakers  is very important in producing a presentation that flows well. One way of doing this consists of:

  • Briefly recap on what you covered in your section: “So that was a brief introduction on what health anxiety is and how it can affect somebody”
  • Introduce the next speaker in the team and explain what they will discuss: “Now Elnaz will talk about the prevalence of health anxiety.”
  • Then end by looking at the next speaker, gesturing towards them and saying their name: “Elnaz”.
  • The next speaker should acknowledge this with a quick: “Thank you Joe.”

From this example you can see how the different sections of the presentations link which makes it easier for the audience to follow and remain engaged.

Example of great presentation structure and delivery

Having examples of great presentations will help inspire your own structures, here are a few such examples, each unique and inspiring in their own way.

How Google Works – by Eric Schmidt

This presentation by ex-Google CEO  Eric Schmidt  demonstrates some of the most important lessons he and his team have learnt with regards to working with some of the most talented individuals they hired. The simplistic yet cohesive style of all of the slides is something to be appreciated. They are relatively straightforward, yet add power and clarity to the narrative of the presentation.

Start with why – by Simon Sinek

Since being released in 2009, this presentation has been viewed almost four million times all around the world. The message itself is very powerful, however, it’s not an idea that hasn’t been heard before. What makes this presentation so powerful is the simple message he is getting across, and the straightforward and understandable manner in which he delivers it. Also note that he doesn’t use any slides, just a whiteboard where he creates a simple diagram of his opinion.

The Wisdom of a Third Grade Dropout – by Rick Rigsby

Here’s an example of a presentation given by a relatively unknown individual looking to inspire the next generation of graduates. Rick’s presentation is unique in many ways compared to the two above. Notably, he uses no visual prompts and includes a great deal of humour.

However, what is similar is the structure he uses. He first introduces his message that the wisest man he knew was a third-grade dropout. He then proceeds to deliver his main body of argument, and in the end, concludes with his message. This powerful speech keeps the viewer engaged throughout, through a mixture of heart-warming sentiment, powerful life advice and engaging humour.

As you can see from the examples above, and as it has been expressed throughout, a great presentation structure means analysing the core message of your presentation. Decide on a key message you want to impart the audience with, and then craft an engaging way of delivering it.

By preparing a solid structure, and  practising your talk  beforehand, you can walk into the presentation with confidence and deliver a meaningful message to an interested audience.

It’s important for a presentation to be well-structured so it can have the most impact on your audience. An unstructured presentation can be difficult to follow and even frustrating to listen to. The heart of your speech are your main points supported by evidence and your transitions should assist the movement between points and clarify how everything is linked.

Research suggests that the audience remember the first and last things you say so your introduction and conclusion are vital for reinforcing your points. Essentially, ensure you spend the time structuring your presentation and addressing all of the sections.

At the start of some presentations you may need to make what are called 'housekeeping' announcements. Here are a few suggestions to help you plan for these.

Things to include

Sometimes it is helpful to introduce people. Beyond yourself, this can include people at the back, support services and so on. If your audience is small, it can also be useful to ask each person to introduce themselves.

Mobile cell phones can be rather annoying, to say the least, when they go off in the middle of a presentation (and it is even worse if the owners decide to take the phone call!). People often just forget to silence them, so a reminder is often a good idea.

Phones are quite personal things so doing this politely is generally a good idea. You may want to ask people to turn their phones to 'silent' or even ask them to turn them off -- phones that vibrate can still distract listeners.

Sometimes, for example where confidential or copyright material is being presented, you may want to ask people not to record or photograph the session. With cameras and recorders built into phones, this can actually be difficult to police. And policing in general can also be tricky -- stopping to tell people not to take photos is unlikely to endear you to the rest of the audience.

If are recording the presentation it can be a good idea tell people that this is happening as they may worry about cameras. If the recording will be online at a later date, you may also want to give information about this.

People like to know how long things will take so they can plan other activities, from work to comfort breaks. If you have an agenda of activities then start and stop times are important, including coffee and lunch breaks.

You can also indicate timescales within your presentation, for example by saying 'We will take a quick five minute to overview the subject before going into detail over the next half hour in the major types of human error.'

When starting a break it is usually important to remind the audience what time you will be restarting.

When people are not back in their seats when you are starting (or restarting) your talk, you have a dilemma to handle -- do you start on time or give the others a few minutes? And if they come back after you have started, do say anything or give them a quick recap? One view is to assume all take responsibility for their own action and so start on time. Sometimes you do need everyone to understand so will have to wait. It can help to politely (and privately, if possible) remind people of their obligation to others.

Point out where the toilets are, with an appropriate use of language, for example talking about 'comfort breaks' or 'the loo', depending on where you are and the culture of your audience. If in doubt, avoid humor here.

Tell them what to do if there is a fire, earthquake, or other calamity which needs them to exit safely. This usually just means pointing out the fire exits. You may have to find where these are before making your speech.

Where there are services provided, such for directions, help getting taxis and so on, the services provided and the method of tapping the them may be described. This can be a physical desk, by phone or other method.

It can be trendy and helpful to organize parallel online conversations, giving hashtags and other contact information to allow people across the audience to comment and connect.

If there are handouts you can describe these and tell people where to get spares. It can be a dilemma whether to give these out at the beginning, allowing people to take coordinated notes but also reading ahead, or otherwise not giving these out until the end. In particular if you want people to pay close attention, you can tell them they will get handouts afterwards and and therefore put away writing instruments.

Sometimes a security announcement is needed, such as to wear name tags or to be vigilant for intruders (such as journalists at a political rally).

Ways to say it

A simple approach is to have a slide at the beginning of your presentation with pictures of the items in question: a phone, fire, food, etc. You can then use these as prompts to remind you what items to cover.

Another quick way is to put text messages on the slide and just say 'please read this' then waiting in silence for a few moments.

A way to provide people with this information but without intruding into the presentation is to give them a piece of paper with all necessary information on it. This may be provided beforehand, for example at registration or in papers placed on their seats.

For information about where fire exits are and where lunch will be served, a map is often much easier than a waving-arms verbal description. This can be put on paper or a slide.

Housekeeping is a dry subject and you can enliven it a little with a little , for example by saying 'If there's a fire, don't follow me as I'll be panicking! It's probably a better idea to walk calmly to the nearest exits, which you will see all around the hall.

Sometimes you do not need to make all announcements at the same time and can leave them to breaks, after lunch, etc.

The easiest way of managing housekeeping announcements is to let somebody else do it. This is typical of conferences where all you need to do is speak and everything else is managed by your hosts.

Make an in-house presentation

Prepare your presentation, prepare your content.

Just as in the preceding chapters, you’re going to prepare the content of your presentation by starting from the why, the basis, before worrying about the form:

What’s the purpose of this presentation meeting?

What needs to be said/understood/discussed?

Why am I making this presentation?

Who will be there / Who is it for?

Once you’ve understood the reasons for your presentation, build your content and immerse yourself in it.

Produce a presentation medium

Now let’s move on to the form.

An in-house presentation is often accompanied by a computer-assisted presentation – in other words, a PowerPoint video projection.

This is different in that you’re not just speaking, you’re showing something as well.

Present your content in a professional way

Take a strategic position.

An in-house presentation is usually made to a dozen or so people, sometimes fewer, sometimes more; but it stays relatively limited.

That’s why (unlike the context of a talk or lecture, where you only make eye contact with some of the audience) you'll have to look at everyone and include all your participants.

Position yourself where you can see everyone. If the table is rectangular, place yourself at one end of the table, like the head of the household at dinner; but don’t put yourself in the middle, you’d have to be turning your head all the time.

If the table is round, you don’t have much choice – it’s best to stay standing, a slight distance from the table, that way everyone will turn towards you.

If you’re projecting a presentation medium, stay close to it, so that both you and your presentation will be visually accessible in the same place, in the same viewing angle. That way, it’s easier for your participants to follow the meeting.

Introduce yourself

Say hello, thank your participants, then identify yourself (first name, surname and position in the company). Don’t assume that everyone knows you.

Use this short introduction to reiterate the purpose of this presentation and the points that will be addressed.

Speak clearly

In this context, you’re unlikely to be using a microphone. Speak louder than normal (without shouting). The participants need to hear you properly and feel your commitment.

It may seem daunting to hear your own voice louder than normal, and you might avoid making it carry too much. However, you’ll see that, contrary to what you might think, this allows you to overcome stress: speaking louder gives you greater assurance and makes you confident.

Illustrate your points

If you don’t have a PowerPoint type presentation medium, write out the keywords or make diagrams on a flipchart. It's not mandatory but can be helpful.

A piece of advice to help you do things well without wasting time:

“Prepare your flipchart in advance. Draw your building blocks in advance. For technical presentations, you can draw in the backgrounds. For marketing or financial presentations, decide beforehand on the tables, figures and graphs, etc. That way, when you are in front of your audience, you'll only need to insert the elements you want to emphasise. That will be more comfortable for you, more effective and more dynamic for those listening to you. Keep within the time allowed

Time is money. Don't forget that it's just as important to others as it is to you.

Keep your context professional as the participants all have work to do and deadlines to meet.

Respect them: don’t make your presentation last longer than is reasonable. It’s good to keep it to less than 20 minutes.

Draw a conclusion

End your presentation by recalling the important points, the action to be taken, the next deadlines and each person’s role, if there is one.

Thank everyone for their attention and their commitment.

The formal presentation of information is divided into two broad categories: Presentation Skills and Personal Presentation .

These two aspects are interwoven and can be described as the preparation, presentation and practice of verbal and non-verbal communication. 

This article describes what a presentation is and defines some of the key terms associated with presentation skills.

Many people feel terrified when asked to make their first public talk.  Some of these initial fears can be reduced by good preparation that also lays the groundwork for making an effective presentation.

A Presentation Is...

A presentation is a means of communication that can be adapted to various speaking situations, such as talking to a group, addressing a meeting or briefing a team.

A presentation can also be used as a broad term that encompasses other ‘speaking engagements’ such as making a speech at a wedding, or getting a point across in a video conference.

To be effective, step-by-step preparation and the method and means of presenting the information should be carefully considered. 

A presentation requires you to get a message across to the listeners and will often contain a ' persuasive ' element. It may, for example, be a talk about the positive work of your organisation, what you could offer an employer, or why you should receive additional funding for a project.

The Key Elements of a Presentation

Making a presentation is a way of communicating your thoughts and ideas to an audience and many of our articles on communication are also relevant here, see: What is Communication? for more.

Consider the following key components of a presentation:

Ask yourself the following questions to develop a full understanding of the context of the presentation.

When and where will you deliver your presentation?

There is a world of difference between a small room with natural light and an informal setting, and a huge lecture room, lit with stage lights. The two require quite different presentations, and different techniques.

Will it be in a setting you are familiar with, or somewhere new?

If somewhere new, it would be worth trying to visit it in advance, or at least arriving early, to familiarise yourself with the room.

Will the presentation be within a formal or less formal setting?

A work setting will, more or less by definition, be more formal, but there are also various degrees of formality within that.

Will the presentation be to a small group or a large crowd?

Are you already familiar with the audience?

With a new audience, you will have to build rapport quickly and effectively, to get them on your side.

What equipment and technology will be available to you, and what will you be expected to use?

In particular, you will need to ask about microphones and whether you will be expected to stand in one place, or move around.

What is the audience expecting to learn from you and your presentation?

Check how you will be ‘billed’ to give you clues as to what information needs to be included in your presentation.

The role of the presenter is to communicate with the audience and control the presentation.

Remember, though, that this may also include handing over the control to your audience, especially if you want some kind of interaction.

The audience receives the presenter’s message(s).

However, this reception will be filtered through and affected by such things as the listener’s own experience, knowledge and personal sense of values.

The message or messages are delivered by the presenter to the audience.

The message is delivered not just by the spoken word ( verbal communication ) but can be augmented by techniques such as voice projection, body language, gestures, eye contact ( non-verbal communication ), and visual aids.

The message will also be affected by the audience’s expectations. For example, if you have been billed as speaking on one particular topic, and you choose to speak on another, the audience is unlikely to take your message on board even if you present very well . They will judge your presentation a failure, because you have not met their expectations.

The audience’s reaction and therefore the success of the presentation will largely depend upon whether you, as presenter, effectively communicated your message, and whether it met their expectations.

As a presenter, you don’t control the audience’s expectations. What you can do is find out what they have been told about you by the conference organisers, and what they are expecting to hear. Only if you know that can you be confident of delivering something that will meet expectations.

How will the presentation be delivered?

Presentations are usually delivered direct to an audience.  However, there may be occasions where they are delivered from a distance over the Internet using video conferencing systems, such as Skype.

It is also important to remember that if your talk is recorded and posted on the internet, then people may be able to access it for several years. This will mean that your contemporaneous references should be kept to a minimum.

Impediments

Many factors can influence the effectiveness of how your message is communicated to the audience.

For example background noise or other distractions, an overly warm or cool room, or the time of day and state of audience alertness can all influence your audience’s level of concentration.

As presenter, you have to be prepared to cope with any such problems and try to keep your audience focussed on your message.

House Style is a term used to describe the rules laid down by a business or organisation to regularise the presentation of its written communications and documents. In some cases these rules might be summarised formally in a published Style Guide or Style Manual.

The purpose of codifying what can be written may vary from a desire to control a corporate image (business documents); a need to maintain standards and follow established conventions (academic writing); or a need for accuracy and precision (technical manuals).

Many different types of institutions, businesses, publishers, or public bodies will establish a house style in order to maintain their corporate or brand image.

University of London, Department of Transport
Amazon, Marks and Spencer, IKEA

The origins of house style lie in the realm of printing, where newspapers and book publishers originally sought to establish guidelines for standardising their productions. The best known of these guides is Hart’s Rules , first written at the end of the nineteenth century for the Oxford University Press. In the twenty-first century, house style is also likely to include writing and presentation guidelines for what will appear on computer screens.

There are differences of approach in the rules of these various style guides. This should alert us to the fact that they are not only dealing with matters of fact and correctness – but are offering a series of conventions which should be followed by their authors.

They are likely to have policies governing such matters as

  • Capitalisation
  • Use of acronyms
  • Punctuation

The notes given below provide illustrative examples. For detailed information on any topic, follow the links to the online style guides and the newspaper house style sites. Some of their guides are the size of small encyclopedias.

House Style – a real example

Microsoft Manual of Style

For instance, each topic they discuss is illustrated by an example of ‘Microsoft style’ and then an example of ‘Not Microsoft style’.

They also specify such fine details as how to present numbers; how to choose the names for toolbars and buttons; how to punctuate lists; how to size titles, sub-headings, and paragraph spaces; and where to use quotation marks .

The following is their table of contents for the topics covered in their house style guide – many of them in extremely fine detail.

  • Practical issues of style

  • Acronyms and abbreviations

Style guides might now make distinctions between house style for print and for online purposes – because the two mediums are considered quite distinct, and may have different readerships and purposes.

Reading on a computer screen is more tiring than reading from a printed document. For this reason, style guides for digital use may specify shorter sentences and paragraphs, wider margins, and the inclusion of graphics.

House style manuals very often specify how the various departments and personnel in an organisation should be described. They are also likely to specify such details as the size and spacing of titles, headings, and sub-headings.

Some words (in English) have more than one spelling . The term judgement can also be spelled judgment . House style rules help to create consistency throughout a document. And consistency is a key principle in creating ease of comprehension.

Newspapers also strive to use consistent spellings for foreign names such as Reykjavik (the capital of Iceland) and Nizhni Novgorod (a port in European Russia).

They are also likely to specify the spelling of names of important people – such as Ban Ki-Moon (Secretary General of the United Nations) and Aung San Suu Kyi (opposition leader in Myanmar – formerly Burma). This shows respect for the person.

American English and British English have minor differences in spelling, so documents aimed at both audiences need to be consistent.

Printed style guides

This is a selection of book reviews featuring style guides published by a variety of organisations.

Note of interest — it is said that the complete printed maintenance manuals for the Boeing 737 jet weighed more than the aircraft itself.

The choice of vocabulary is important because it reflects the nature and the attitude of the organisation. The language you choose needs to be understood by the audience(s). It should be clear, unambiguous, and consistent.

It is now very common for organisations to specify the terms used to describe people with disabilities, ethnic minorities, and issues related to gender.

For instance, the BBC specifies that people with learning disabilities should be used – not mentally handicapped . It specifies Muslim instead of Moslem .

The Guardian newspaper used to prohibit the use of the term regime to describe a government – because the term is clearly derogatory and suggests a bias against a government which might become legitimate in a few week’s time.

The Telegraph newspaper has a list of ‘banned words’ in its house style guide. These are not ideologically taboo words so much as lists of journalistic clichés used in tabloid newspapers – terms such as bloodbath , clampdown , jaw-dropping , and prestigious .

BBC News style guide Detailed guidelines for print, online, plus radio and television broadcasting. Also includes rules on pronunciation and spelling of foreign names.

English Grammar Comprehensive grammar guide, with downloadable lessons, interactive exercises, grammar checker, videos, and daily updates.

Purdue On-line Writing Lab Purdue’s famous OWL, useful for general writing concerns, with links to American academic style guides and how to avoid plagiarism.

The Elements of Style William Strunk, Jr.’s original 1918 classic. The ‘bare bones’ approach to common problems, with illustrative examples.

On-Line Study Resources Style, grammar, essay-writing, citations and footnotes, plagiarism and presentation from the University of New South Wales.

Capitalization

The correct use of capital letters is not quite so straightforward as it might seem. It is not always immediately clear if someone, somewhere, or something warrants a capital or not. The following are some of the more common instances.

However, when such terms are used as adjectives or in a general sense as common nouns, no capital is required:

the King James Bible / a biblical reference

Oxford University / a university education

the present Government / governments since 1967

Capitals are used when describing intellectual movements or periods of history:

Freudian – Platonism – Cartesian – the Middle Ages the Reformation – the Enlightenment

They are also used in the titles of books, plays, films, newspapers, magazines, songs, and works of art in general. The normal convention is to capitalise the first word and any nouns or important terms. Smaller words such as ‘and’, ‘of’, and ‘the’ are left uncapitalised:

What Is a Project Presentation?

A project presentation is a business activity that brings together stakeholders and team members to oversee a project from execution to completion. During a project presentation, one or two people present a document or slide deck with an overview of all the project’s details.

During a project presentation, the project manager highlights key data about the project initiation and planning activities, like the project scope, requirements gathering, a deliverable list, timelines, and milestones.

The first instance of a project presentation is right before the execution of the project itself. Then, during the project process life cycle, you present it again with timely updates and news about the progress.

Who is the audience of a project presentation? 

A project-related audience is made up of stakeholders – all individuals and entities that affect or are affected by the project’s existence.

Discuss the project presentation with team members that’ll work on the project so they know what’s at stake and what’s expected of them. They’ll need information like requirements, the roadmap, the work breakdown structure, and deliverables.

Stakeholders

Present your project to the stakeholders that can authorize resources and expenditures. Show them how the project will offer the solutions they want under the conditions they impose in a set amount of time. 

Stakeholders want to know details like project scope, budget breakdowns, timing calculations, risk assessments, and how you plan to confront these risks and be ready for changes. 

The Structure of a Project Presentation

Project presentations follow a standard structure covering all critical elements. Follow this guideline to ensure that you cover everything with the slides, the speech, and the discussion.

In the next section, we describe a project presentation structure you can build with SlideModel templates or working with our AI PowerPoint generator . As you will see, most sections in the structure are summaries or overviews of project management practices completed during initiation and planning. 

At the start of your presentation, add an executive summary slide . This section is meant to welcome the viewer to the presentation and give an idea of what’s to come. To differentiate your executive summary from the project overview that comes right after it, use the opportunity to place the project into context. 

In an executive summary , show how this particular project fits into the overall strategy for the company or the section it belongs to. If, for example, your project is about TikTok Marketing, offer information as to how it fits in the overall marketing strategy.

Continue the presentation with a project overview to show the audience what to expect. This section covers one slide or a combination of slides depending on the layout. The project overview slide serves as the introduction to a project presentation and what’s inside.

Include these items:

The project life cycle is the series of phases that a project goes through from its inception to its completion. The project process model is the group of knowledge areas, processes, and their relationships that will guide the activities along the project lifecycle. The next slide should display the chosen project process model and explain how it’ll be carried out along the different lifecycle phases. Project process models examples include Waterfall, Scrum, and V Model for software development, and Business Process Modeling Notation (BPMN) and Swimlane for general business-related projects.

Process models are important for the team to understand execution processes. Stakeholders need to see the process model to understand the systematic process of activities and how long they will take. 

Use one slide for the model, show only high-level components, and offer details during the presentation if the audience asks for them.

The scope is a crucial element of any project and needs its own section in the presentation. The scoping process begins with requirements gathering and includes the creation of a work breakdown structure , an analysis of what’s in and out of scope, plus validation and scope management plans. 

One or two slides are enough to highlight key scope details in a dashboard-style layout mirroring the information on your project scope statement. Preferably, place the scope slides towards the start of the project presentation close to the process model and project resources.

Stages of a Project Scope

Every project needs resources, and that assessment must be included in the project presentation as well. In a general sense, all resources are what make up the overall budget for the project. In turn, you’ll need to show a budget breakdown that shows high-level resources.

Like many aspects of a project presentation, what you include depends on the industry you’re working for. Construction projects use constructors, materials, machinery, etc. Software projects use programmers, designers, software licenses, computers, etc.

Time is the main resource of any project. During project planning, the project management team estimates the required effort needed to complete the defined scope. Using the Project Process Model, Scope, and Resources, a plan is built. Present a roadmap to highlight the expected time for project completion and where each milestone falls along that line.

Roadmaps can be constructed with an infinite variety of visual layouts, from highly creative and illustrative to structured formats resembling spreadsheets and tables with color-coded roadmaps across the cells. Use one slide to show the roadmap highlighting time estimates, constraints, and projections. For updated project presentations, mark where the project is on the roadmap at that particular moment in time.

Every phase of the roadmap is broken down into action plans . Action plans list activities, their duration, allocated resources (human, material, and financial), and the relationship between activities.

Present your project activities plan with a Gantt Chart and a Costs Report. The Gantt Chart will show the activities to execute, how long they will take, and who (person or team) will be responsible for them. The costs reports will show how much the execution of activities will cost.

During the presentation, you’ll spend the most time on this section, as this is when and where your entire plan is outlined. To show more detail than the roadmap overview, use a few slides to show specific sections of the main Gantt chart and show key activities per phase or milestone.

All projects present risks, and to control them, they must be identified, assessed, evaluated, and mitigated . Visualize your risk assessment with a risk matrix and include it in the project presentation. 

Use this slide to explain to stakeholders how you plan to mitigate the identified risks. Share with team members what’s expected of them in order to keep the risks under control. Risk management is a critical component of project management and something stakeholders will always be looking at.

Controlling the quality of project deliverables is critical for positive project outcomes and continued success with the deliverable. This process is called quality control or quality assurance.

The project process model includes which quality control techniques the team will use and when. Some quality assurance (QA) techniques include statistical process control (SPC), Six Sigma, ISO 9000, and Total Quality Management (TQM). Use one slide to visualize the process and your plan to execute it.

Once the project starts, the project plan is a living entity and evolves over time. This section will need to be regularly updated with progress reports, performance KPIs, and status updates.

Across these slides, explain how activities will be monitored and deliverable outcomes measured. Show exactly how you will determine if the project is on course or has deviations. Visualize all execution activities with a Gantt chart to show the current progress. Use big numbers and data points to highlight performance metrics. Use a comparison slide to visualize the completeness percentage vs. planned progress and budget consumption vs. planned budget.

Explain all monitoring activities for the execution phase using a calendar or schedule that shows on what days activities will take place and who is involved.

The Project Team 

When presenting a project, include a stakeholder map to describe the management team, the sponsors, the main stakeholders, and the implementation team or teams. Depending on the size of the project, this will be an org chart or multiple org charts across a few slides.

Why is it important to present the project team to the stakeholders and vice versa? So that everyone involved knows the other parties and their responsibilities.

Another use for the team slide or slides is to present the next person who will speak during the project presentation. This gives the audience some background on that person’s role in the project.

Case Study – Project Presentation Example

Using the structure we present above, we outlined a case study of a realistic project and how the project manager puts together the project presentation using SlideModel templates. The project presentation example is based on a complex project of building a bridge (Cline Avenue Bridge). For the educational purpose of this article, we are not delivering all the elements of the project presentation, as it is out of scope. Still, we illustrate the more representative slides of each section, show how to prepare a PowerPoint Presentation for a project and how simple it is to adapt the templates to the content that needs to be presented. As a disclaimer, all information we present is an adaptation and reinterpretation of the real project, modified by SlideModel to fit the use case learning goals. This information and presentation should not be considered a source of information related to the Cline Avenue Bridge Project.

In this slide, the presenter summarises the project highlights in a project charter style. The Project Manager can extend this introduction all over the project lifecycle, and the speech can jump from different knowledge areas without the need to change slides or get deeper into details. Specifically, in the Cline Bridge Project, the objective is narrated, the location is just mentioned and linked to a map for further details, and a set of important facts are presented (Building Information Modelling Process, Budget, Duration, Sponsor, and Constructor). Process Model

The Process Model slide illustrates the framework for the project lifecycle, processes, planning, and execution. In this slide, the Project Manager will describe the model and how it is tailored to the specifics of the project. In this case, for the development and construction of the Cline Bridge, the builder has defined the use of BIM (Building Information Modelling) as the process model. During this slide, the presenter can describe the lifecycle phases (Design, Production, Construction, Operation, and Planning) and drill down one level over the knowledge practices involved. For example, the initial stage consists of “Design”, which has two main knowledge areas, Conceptual Design, and Detailed Design. The project manager is able to explain this definition without the need to outline detailed processes and activities within them.

The Scope section of the presentation generally involves several slides, as the content layout is a list of “requirements.” Based on this fact, a table layout is suggested to make good use of space. It is important to avoid abusing the “list” and present the group of requirements rather than specific requirements. Otherwise, the project manager ends up transcribing the requirements document.

In this project presentation example, we present 10 groups of requirements traversing different stages of the project lifecycle. 

  • Design Standards: Bridge design must comply with local, national, and international design standards, including relevant engineering and safety codes
  • Load Capacity: The bridge must be designed to safely carry a specific maximum load, which would include the weight of the bridge itself, traffic, pedestrians, wind, and other factors.
  • Seismic Design: The design must account for seismic loads. 
  • Aesthetic Design: The bridge must be designed to meet certain aesthetic criteria aligned with the artists and architects.
  • Accessibility and Use Requirements: Requirements for pedestrian walkways, bike lanes, vehicle lanes, load restrictions for vehicles, clearance heights for boats if over a waterway, etc.
  • Regulatory Approvals: The project must secure all necessary permits and approvals from relevant local and national regulatory bodies.
  • Environmental Impact: The project must take steps to minimize its environmental impact during construction and the operation of the bridge, including implementing erosion and sediment controls.
  • Materials Simulation: Materials should comply with regulations and usage expectations for current and future expected requirements.
  • Site Preparation: The project must include preparation of the construction site, including any necessary land clearing or grading.
  • Foundations Construction: Foundations will need to support materials weight and traffic expected for the next 30 years.
  • Site Acquisition: Acquire site and terrain for building and logistics.

Building a bridge involves a high level of resource usage. In an executive meeting of a project presentation, the recommendation is to structure this section as a Financial table with only one level of detail. Further details are delegated to specific resources and cost analysis presentations.

Project Roadmap

As explained earlier in the article, the project roadmap serves to offer a comprehensive overview of the significant milestones that will happen over the course of time. Given the magnitude of a bridge construction project and its prolonged duration, it is advisable, particularly for such extensive endeavours, to present a roadmap that aligns milestones with corresponding lifecycle phases in a discernible manner. This approach enables the audience to mentally envision the sequential progression of the construction process.

Aligned with previous slides, in the example we created a roadmap with the following high level milestones, and sub componentes:

Action Plan

In the bridge construction project of the example, there will be plenty of activity plans. All along the project several of these slides will be created and updated. The most suitable option for presentation tasks, durations, precedence relationship and resource allocation is the Gantt Chart Template. We present the first Quarter of the project, over the Conceptual Design Activities.

Project Risks

Risk management is an iterative process all over the project life cycle. When presenting your projects, the risks will vary depending on the progress over the roadmap. For this specific example we decided to present the risks being discussed during the Ideation stage, where the developer is exchanging risks with contractors and the company that will build the bridge.

Our suggested layout for this kind of information is a simple table, where the risks are clearly readable and visible, while the description is a hint for discussion rather than an in depth explanation.

It is very important to classify the presented risks, at least with two dimensions; “Impact” and “Probability”. This will generate quality conversations around them.

The quality control section of the project presentation may vary depending on the quality process adopted. For large scale companies with a uniform portfolio of projects , it is common to see a continuous improvement quality model, which iteratively builds quality over the different projects (for example software companies) For construction companies like the example, the situation is not different, and the quality control model is aligned with the specific building process model. In this specific case, the project manager is presenting the quality control process to be applied over the BIM model and the Quality Control process to be followed for the physical construction of the bridge:

Execution and Monitoring

During the project, several status meetings will be carried out. During the project presentation the manager can establish the pattern to be used along the project.

Our profession is all about presentations. It all started at university in the architecture studio, a whole semester had to be condensed into a 10-minute precise presentation in order to get the crits to understand your project, and it continued into professional life as the main tool to communicate with your co-workers, clients, a jury or with other architects in a lecture.

A good presentation could get your project approved, or quickly dismissed if you don’t plan it right. For example, a presentation to a client compared to a presentation for a group of architects is very different, even if the project you need to communicate is the same.

As I usually have to give at least a couple presentations per month, I have always tried to make them worth and not waste other people’s time. A big help for that has been Garr Reynolds, the “Presentation Zen” from which I haven taken some key points of which I will share with you in order to make a good presentation, adapted to our profession.

I think that this is the most crucial part no matter what you need to communicate. In order to deliver your message you need to present it according to whom you want to understand it. There are several terms and concepts that we as architects can easily understand, but that our clients or a general audience might not understand at first. Often we even invent or misuse words, misleading our audience. Program, urban fabric, etc.

The same as we do with our projects, a presentation should be simple. We should strip out anything that is unnecessary. Think of it as a Mies building on which everything is there for a reason and nothing can be removed. This is often the most difficult part, as we have to reduce it to its essentials. As an exercise Garr suggest that you outline the three things you want your audience to remember from your presentation.

Related to the previous point (and also to the 1st). Put yourself in the shoes of your audiences and ask “so what?”. You might have several interesting stories or concepts to tell the audience, but if they don’t add to what you want to communicate – just take them out.

You start with the foundation, follow with the structure, then move on to the skin and the interiors. This is a crystal clear process that you already know. Do the same for your presentation.

It also makes your audience follow you and focus on the presentation. When I have to make a long presentation I always start with an index, and as we move forward I keep reminding the audience where we are in the presentation, therefore they can follow along, stay focused, and recall what comes next.

Say the speaker before you exceeded on their time, or the client was late and is short on time. You always need to have a short version of the presentation, or at least know which parts you can skip in order to make it on time. The exercise is usually called “the elevator pitch”, under the idea that you should be able to sell your idea in the time span of an elevator ride, meaning in a maximum of 30 seconds and in 130 words or fewer.

Regarding the previous point, it reminded me of Frank Lloyd Wright drafting the Fallingwater House only 2 hours before his meeting with Kaufmann, all that in one sitting at his drafting table.

As you can see, this story was appealing to you as an architect, and you immediately understood my point. Stories can connect you with your audience, and engage them.

You can think about your project as a story, and develop the whole presentation as if you are the story teller. Just keep in mind the previous points, as an irrelevant story can do more harm than help.

Even after almost a hundred presentations, I’m still nervous before giving them. If you are nervous, your audience will notice it, and will focus on that instead of your project.

Mies may have suggested a glass of scotch, but the best is to rehearse, rehearse and rehearse. If you know your presentation backwards and forwards it will flow naturally, and will also keep you prepared for any unexpected event during the presentation.

And “picture the audience nude” always comes handy.

What is a floor plan (presentation), a presentation floor plan, usually, when you hear the word, "floor plan", most people have a general idea of what it is. in this tutorial, you will explore what a floor plan is in terms of presentation plan., floor plan defined.

A floor plan is an architectural drawing showing the spatial layout of a building. It is generated by having an imaginery horizontal line/plan that is cutting the building at 3'-4' from the base. The result is a "diagrammatic" drawing showing a wide range of information from rooms, structure, layouts, materials, dimensions, etc. A PRESENTATION floor plan is a floor plan but without the technical information such as dimensions, annotations, and technical details.

In a presentation floor plan, you can have a floor plan showing the floor plan, text, layouts, furniture, floor finishes, and poched walls. Poche walls are walls that are shaded in, typically a dark to black solid fill color. Presentation floor plans are shown in the early and presentation stages of the building development. Usually you will see a drawing during a conference call, meeting, presentation, with a client, and the design development stage. The interior of a presentation plan reveal furniture, cabinetry, and floor finishes; all which have a lighter line-weight. 

Typically, a floor floor plan has both interior and exterior walls. The exterior walls are anywhere from 6"-24" thick while the interior walls are 4"-8" thick. The various thickness is the result of different materials. 

On a presentation floor plan, windows are indicated by either a thin single line or a series of details. 

You can also use color on a PRESENTATION floor plan to define spaces.

Architectural presentations mean representing your projects in architecture in your own way and in your language. Every architect needs a presentation to present their projects, ideas and concepts in architecture faculty and professional life. The elements contained in architectural presentations form your design and presentation language. Having your own design language determines your architectural vision and character. The success of architectural presentations increases the success of the projects and you can show your projects much better with a good presentation. Otherwise, if your presentations are not successful, your projects will not be perceived as perfect, even if they are perfect and complete.

Architectural presentations are an important issue on our agenda as architects every term and any type. In this article, we will talk about architectural presentations and their contents that you need to have as an architect or architecture students.

Architectural Drawings

Architectural presentation means presenting and transferring all the details of the buildings you have designed in professional life to the customers in the best way possible. That’s why you need to prepare a presentation to impress your customers and bring out the best in the project. Architectural drawings, one of the presentation elements, are not the elements we prefer for professional presentations. It is not easy for people who are not architects to read plans and sections and to understand the project through technical drawings. To avoid confusion, you should put architectural drawings in presentations of competition projects, student projects, not professional presentations.

Architectural drawings are essential for such projects and are a very important element. Architectural drawings at all scales must be seamless, error-free and clean. Drawings of architectural projects should start with 1/1000 or 1/500 master plans, and they should be placed in architectural presentations in logical order. Following the master plans, floor plans and sections are placed at 1/100 or 1/200 scales depending on the need and reading of the project. Then, when you add all of the architectural drawings, you should add real-size or small scale drawings such as 1/5, where layers such as point details, system details are well read. Make sure that your architectural drawings are prepared and presented in the same language and that the drawings are clean.

Layout Design

Successful architectural presentations and good reading of drawings and images depend on the layout design. We do not recommend making layout designs that are complex and difficult to read. Prepare simple and easy-to-understand templates to present to both clients and judges. If you design these templates and layouts to include a lot of presentation elements, you will surely make your project more difficult to understand. Sometimes crowded layouts are preferred to be “rich”, but this is very difficult for the reader to perceive.

If you’re making the background in a way that makes the layout easy to read and you’re confident in your graphic design skills, go for it! However, most of the time, colored backgrounds are preferred to compete with the project visuals, and this is a big mistake in architectural presentation. How to Create a Successful Architecture Presentation Board

Architecture is as much about effective communication as it is about innovative design. At the heart of this communicative process lies the architecture presentation board, a tool quintessential for architects to convey their vision, ideas, and concepts.

These boards are more than mere visual aids; they are the narrative bridge between an architect’s imaginative conception and the practical world where these ideas may take shape. They are not just a requirement for academic submissions or professional proposals but are a fundamental aspect of the architectural design process.

They serve as a canvas where ideas are visualized, concepts are explained, and designs are brought to life for various audiences, be it clients, peers, competition judges, or the general public.

Understanding how to effectively create and present these boards is crucial, as a well-crafted presentation not only showcases a finished scheme but also reflects the thought process, attention to detail, and the authors ability to communicate complex ideas succinctly and visually.

What are architecture presentation boards used for?

Architecture presentation boards serve several different purposes:

  • Students use them to present work to their professors and peers.
  • Professionals use them to present designs to clients, committees, shareholders, and exhibitions.
  • They may be a means to win a commission, or they may help to take a project into the next stage. 

What is the purpose of an architecture presentation board?

Architecture presentation boards are a tool to showcase your work. They are a way to draw your viewers into your design process and methods, providing an overall summary and vision for the project. You are communicating your design and showcasing your artistic skills, and your sense as a designer. 

Every successful project has a central concept, a “big picture” theme that gives it purpose. When you look at your project, what is that big idea?

As it is central to your whole project, this will guide you as you prioritize your work and determine the flow of your ideas. The primary purpose of your project is to communicate this central concept in the best way possible.

How do you layout an architecture presentation board, 01 – structure/order.

Before you begin laying out your presentation board, think about the main points you want to convey. From there, determine what images and graphics will best represent those ideas. Gather all of the information you will need, making a note of what graphics and text you will need to communicate your ideas.

Remember, you are essentially telling a story, so pay close attention to the flow of the narrative as you arrange your elements. Consider the beginning, middle, and end of the story you want to tell.

Depending on the guidelines you are given, you may present your boards side-by-side, as separate boards presented in a sequence, or as one big poster. If no strict parameters are in place, figure out what structure and layout will tell your story the best. While a series of boards will logically convey your story, one big board is often the easiest option.

02 – Orientation

Will your presentation board be oriented in portrait or landscape? Sometimes you will get to make that call, but many times it will be determined for you by your director, client, or professor. Make sure you know beforehand what the parameters are.

If you get to choose, give it some careful thought. Which orientation will give your graphics the room they need to be the most impactful? Which orientation gives your whole project a natural flow for your narrative? 

03 – Size

Much like orientation, you may or may not get to decide what size your presentation boards will be. You will often have restrictions that limit you to a specific board size and a certain number of boards.

Make sure you know your limitations before you start working on your layout. Your boards should all be the same size to achieve continuity.

You can use a combination of different sizes to produce a board of equivalent size. For example, a combination of two A1  boards will add up to an A0 board.

04 – Layout

The most common way to organize your layout is by using a grid. Using a grid will help keep the boards in your project consistent.

If you are using InDesign , you can achieve this uniformity by creating a master page that acts as a template for your whole project.

Templates are useful because they can save you a great deal of time, and they ensure uniformity throughout your project. Your grid should include spaces for titles, numbering, your name, and any other information that will repeat on each board.

Before you start laying out your actual boards, sketch out various configurations so you can determine what will work best. You can do a small-scale sketch to get the basic idea of the flow of each board. This allows you to change the arrangement of the elements before you commit to anything on your boards.

You can do this initial phase using software or sketching it out on paper.

After you have determined what type of layout you want to use, estimate how much space you will need for each element on the page. Each graphic needs to be large enough to have an impact. Determine how much space you would like to leave in between each graphic.

Use equal spacing throughout your project to create continuity. Here is an excellent tutorial on planning your layout using Indesign:

The layout of each board should show the relationship between all of the elements. It should be clear to read and follow a logical left-to-right and top-to-bottom progression.

Imagine a viewer looking at your presentation. What do you want them to see first? What is the best way to make them understand your project? Does your layout achieve this?

You should also pay attention to the relationship between each board. Is there a logical progression from one board to the next? Does the sequence make sense? If you will not display the boards in a configuration that makes them all visible at once, make sure you number them, so your viewers follow the correct sequence.

Don’t feel the need to fill every square inch of your presentation board. Leave enough space so that it doesn’t look too busy or cluttered. On the other hand, don’t leave too much space either, or it will look like you didn’t finish the board, didn’t have enough material for the board, or that you didn’t work very hard.

05 – Visual Hierarchy

Some of your images need to garner more attention than others. Consider all of the graphics and text you will be using. Which images are central to your main idea?

The images that are essential for communicating your vision should take up more space in the grid. You should have an image that people can see from a distance and other images that they can see from up close. This creates a visual hierarchy.

What is the most important aspect of your project? Make that the element people can see from a distance. There are ways to accomplish this in addition to making it the largest element on the board. For example, you can use color to draw the viewer’s eye to a particular graphic, especially if the rest of the board is monochromatic.

06 – Background

The background of your presentation board should be simple. This allows the viewer to see all of the elements without the distraction of a busy background. You don’t want anything to detract from the critical details of the board. Your graphics and text should be the primary focus; don’t use bold colors or textures that will detract from that.

A white, or even light gray, background will make your graphics and text stand out. It will give your presentation a professional look that isn’t too busy. You can use other colors if they help convey your central concept; just make sure the background is plain enough that the viewer focuses on the design, not the background.

Be very selective when using a black background, as it may make the text harder to read, and your graphics may not stand out as much as you would like them to.

Whatever color you choose for your background, use it to your advantage.  Effective use of negative space can make your design look clean and professional.

07 – Color Scheme

Many professionals and students stick with black, white, and gray for presentation boards. While this can give your boards a professional look, don’t be afraid to add a pop of color. While sticking with greyscale may seem like a safe choice, there is a risk of blacks and greys making your design seem cold and lifeless.

Think about ways you can use color to bring life to your design. You may opt to add just one color, such as green for landscaping, to provide contrast to an otherwise monochromatic presentation. You could also bring in an additional color to represent a particular building material (brick, glass, wood, etc.).

You can also choose a brighter, more eye-catching color, such as yellow or orange, as a feature in your diagrams . Whatever you choose, use the same color across all of your boards to maintain a consistent flow.

If color is one of the main focuses of your project, or if there are details that you cannot adequately represent in greyscale, then you should feel free to delve deeper into the world of color. Don’t limit yourself to merely an accent color in this case, but don’t take it too far and make the mistake of overusing color to the point where it is a distraction.

08 – Font

All of the text throughout your project should be in one font. Don’t use font style as an avenue for creativity; it is more important to make sure the font style and size produce a readable, consistent product.

Sans serif fonts, such as Helvetica or Futura, will give your presentation a clean, minimalist look.

Avoid script or handwriting fonts, as they will not give your boards a clean, professional look. Keep the color of your font dark (black or dark grey work well) to provide contrast to a light background.

Whichever font you select, make sure the style and size are readable for your viewers before you finalize your boards. The best way to do this is to print out your text on an A3 paper, pin it up somewhere, and stand back to see how it will look when it is displayed.

09 – Title

The most common placement for a title bar is the top left since your board will most likely follow a left-to-right and top-to-bottom progression. Many successful and professional-looking boards have titles at the top right, at the bottom, or somewhere in the middle.

Choose the position that makes the most sense for your project. As with other design decisions, make sure it does not distract the viewer from seeing the big picture.  

Make sure the title placement is consistent from board to board. This consistency will be both visually appealing and professional.

10 – Text

Keep your explanations concise. People are not going to spend much time reading lengthy descriptions, so only include relevant information and keep it short. Remember that your text boxes are part of your visual hierarchy, so utilize the size and alignment to complement your graphics. Consider the various ways you can align the text within the text box. What flows best? What is pleasing to the eye?

Aside from your title, do not use all capitals in your text. Your work will look more professional and be easier to read if you stick with the standard rules of capitalization.

Whenever possible, use a graphic or a sketch, rather than an explanation, to portray an idea. Since this is a graphic presentation, you want your graphics to tell the story, not your text. Include a concise statement that highlights the features of your design. This is basically your sales pitch; lengthy explanations will make you lose your audience.

11 – Image Selection

The selection of images is a critical part of putting your presentation board together. The graphics you choose can make or break your entire design presentation.

You want to select the images that best convey the important details of your project. If you use too many images, your presentation may appear cluttered and confusing. If you use too few images, it may look like you did not put much effort into your presentation.

Over the course of your project, you have generated countless sketches, renderings, models, and drawings. Resist the temptation to include everything just to show how hard you worked. Keep your big picture in mind and determine which images will directly show or best support that idea.

12 – Models

On occasion, a physical model, or even several models showing different aspects of your design, may be required for your presentation board. This is an additional means of communicating your vision to your viewers.

There are several materials you can choose for your model. Card and cardboard are inexpensive and come in various weights, finishes, and colors.

Foam board is also available in various widths and thicknesses. It is generally white, but it also comes in other colors. It is very lightweight and sturdy, making it an ideal material for your presentation board.

Balsawood is another good option. It is easy to work with and comes in varying weights. The material you choose will depend on the look you are trying to achieve as well as how much weight you can adhere to your presentation board.  

Your model pieces can be cut by hand with tools such as an X-Acto knife or a scalpel. If you have access to a laser cutter, it will save you some time and give you more precision.

13 – Time Constraints

Give yourself enough time to produce a well-thought-out, effective, visually appealing presentation. You spent a considerable amount of time on your design; it would be a shame to rush through your presentation boards. Give each part of the process enough attention so that your final product really showcases and highlights your talent and hard work. 

Time management is critical when working on a big project like this. It can seem overwhelming at first, so split the project into smaller sub-tasks to make it more manageable. Give yourself a deadline for each of those smaller tasks. Make a schedule that shows which tasks you will accomplish each day. Make sure you leave yourself a little wiggle room in case anything unexpected comes up.

What should be included in an architecture presentation board?

Unless you receive explicit instructions regarding what to include in your presentation boards, it is up to you which elements make the cut. When you are deciding what elements to incorporate into your project, reflect on what will best explain your design.

When someone completely unfamiliar with your project is looking at your boards, what do you want them to see?

When deciding what text to include in your project, make sure you include an introduction, your design brief, and any applicable precedents. In addition, you will want to include concise textual explanations as needed throughout your presentation.

For your graphic representations, you want to include the basics: elevations, floor plans, and sections. You can represent these with 3d drawings, perspectives, or renders.  You may also include some key features of your design that make it unique, and in addition to highlighting the finished product, select elements that show your concept and design development.

Some additional tips:

  • When choosing a perspective view, select one that highlights the best aspects of your design. This graphic is usually the most prominent picture on the presentation board. The hero image!
  • You will want to include at least two different elevation views so your viewers can get a sense of the bigger picture.
  • Don’t be afraid to include sketches. If you include some sketches that show the progression from a simple idea to the final product, you can communicate your vision as well as your process.

When you are adding all of these elements to your presentation board, make sure each graphic representation of the plan has the same orientation. If one picture has north pointed in one direction and another picture has north pointed in a different direction, it can be disorienting for the viewer.

Likewise, each graphic should use the same scale unless there is one picture that is bigger than the others for the purpose of visual hierarchy.

There is one obvious detail that you may inadvertently overlook. Make sure your name is on your presentation board. If you have more than one board, put your name on each one. The name is in the bottom right-hand corner, but it can also appear in the title bar.

C onceptual board

When creating concept sheets, you may want to include conceptual collages and diagrams to help explain your ideas to the audience. These can be created using 3D modeling software or programs like Adobe Photoshop or Illustrator. The goal of concept sheets is to clearly and simply present the various stages of your project to the review panel.

Site a nalysis board

Before beginning a project, architects perform thorough analyses to determine the needs, conditions, and limitations of the site. This analysis serves as the foundation for the concept development. Site analysis boards may include site analysis, urban scale analysis, sociocultural analysis, analysis of physical conditions, and environmental analysis.

It is important to conduct extensive research and present your findings in a clear and organized way, as analysis boards can help reinforce the concepts presented in your architectural drawings.

It is also important to keep in mind that the jury members may have difficulty understanding analysis presented alongside the architectural drawings.

Technical / Detail Board

Technical drawings are a crucial aspect of architectural projects, as they help to depict the structural elements of a design and guide the construction process. It is important to present technical drawings in a clear and organized manner, particularly in application projects and student projects.

Technical drawing boards should typically include a master plan at a scale of 1/5000 or 1/1000, as well as site plans and floor plans at a scale of 1/500, and sections and elevations at a scale of 1/200. Detail drawings, including system sections and details at scales of 1/20, 1/10, and 1/5, should also be included on the technical drawing boards.

These drawings will help to provide a more complete understanding of the project to the review panel.

Professional Boards

While student projects and competition entries are evaluated by a panel of judges, in professional practice, the client serves as the “jury” for your work. Instead of preparing presentation boards in the same way you would for school or competition projects, it is important to create presentations that will appeal to clients.

The most important factor for most clients is the design of the living space, so it can be helpful to focus on renderings and plain plans rather than technical drawings. The visual appeal of your presentation boards, including the color scheme and atmosphere in the renderings, as well as your ability to effectively present and explain your ideas to the client, will also be important factors in their evaluation of your work.

Programs, Software, and Tools

There are several software applications you can use to build your presentation board. Choose one that you are already familiar with, so you aren’t trying to learn new software while you are doing your layout. That is an added stressor that you just don’t need!

InDesign, Illustrator, and Photoshop are excellent programs, but if you need something a bit more simple, Microsoft Word, Pages, Powerpoint, or Keynote will also work. 

InDesign was designed for making presentations. AutoCAD was designed for constructing plans. Photoshop was designed for editing raster images. Illustrator was designed for creating vector art. While some people are able to make their whole presentation using Illustrator, Photoshop, or even PowerPoint, it makes more sense to use each piece of software in a way that takes advantage of its strengths.

You can import files from AutoCAD, Photoshop, and Illustrator into InDesign and take advantage of the strengths of each application.

Before you delve into your own presentation board, do some research. Look online for examples and make a note of the elements you like. Combine that inspiration with your creativity to produce a stunning presentation.

A MIGRANT WAITS FOR HER TURN TO BE CHECKED AT THE US BORDER WITH MEXICO

Mothers carrying their children smile, give me a thumbs up, and then point to a riverbank 50 metres or so away.

We're on a walkway bridge between the Mexican city of Matamoros and Brownsville in Texas . The riverbank is of course the United States - so close you feel you can almost touch it.

For these families wide-eyed with excitement, this is the moment they've dreamt of. Many have endured months, even years, on the road.

A GROUP OF MIGRANTS ARE LED FROM MEXICO TO THE US 2

Sometimes travelling thousands of miles through hostile countries, outwitting cartel gangs, and managing dizzyingly contradictory bureaucracy, all to get to this point: an asylum interview with United States border officials, and almost certain entry.

On the migrant 'Train of Death': Electric shocks, beatings and brandings

On its face, this all sounds like a system working in perfect harmony with the needy being helped by a welcoming country.

But in reality, migration is a hotly disputed issue that is likely to dominate the Trump-Harris debate, and the run-up to the presidential election itself.

The group I am with on the bridge is mostly from Cuba, Nicaragua, Haiti, and Venezuela.

They're claiming asylum, and with their paperwork and appointment email in hand, they approach the border with some trepidation but mostly with excitement and joy.

Many have waited months for their appointment to come through after applying for asylum on the US Customs and Border Protection (CBP) app.

This group of a few hundred people on the bridge are now just a few steps from America.

A MIGRANT CHILD SLEEPS ON HER MOTHERS LAP WHILE WAITING TO CROSS FOR CBP APPOINTMENT

As they shuffle forward, CBP guards check their papers, make sure there are no errors, and wave them through to the other side for their case interviews.

These families, these children, are about to start a new life.

Along the border here in Matamoros, there's little sign of Donald Trump's border wall , but he'd doubtless approve of the razor wire fortifications on the American side of the Rio Grande.

Experts here say there's no doubt who those seeking asylum are backing in this election and this debate - and that's Kamala Harris , who is seen to have a far less hostile approach to immigration.

"I think the best would be a flexible US immigration policy again, like President Biden's when he began his administration," Oscar Misael Hernandez-Hernandez said as we chatted alongside the dozens of cars and trucks crossing the border.

A professor of social anthropology at the El Colegio de la Frontera Norte research centre and an expert on Mexico-US border issues, he added: "Biden broke with ultra-conservative vision and immigration policy.

"So, I think if Harris implements a migration policy like this if she wins the presidency of the United States, it would be not only quite good for migrants in terms of human rights, but also quite good for international diplomacy, because the relations of the United States, at least with President Trump, if he wins, would be quite disastrous as they were in the past."

A GROUP OF MIGRANTS IS LED FROM MEXICO TO THE US

In shelters and hostels across Mexico , many other migrant families simply have to wait for their border appointments.

It's like a lottery, and it can take a long time for their number to come up.

Few leave the shelter; they would be easy prey for cartel gangs who would kidnap and hold them for ransom.

Marlen Cabrera, 39, from Honduras, and her family are waiting it out along with 200 others at the Casa del Migrante San Francisco de Asis shelter.

Any tightening of the immigration rules - as threatened by Donald Trump - would be a disaster for her.

I asked her what she would do if the laws changed with a Trump victory. She says she doesn't like to think about what-ifs.

"I've been here so long, and not being able to get in would be hard because it's the only option I have," she said.

"I have to get in. It would be really terrible if we couldn't. And I don't just speak for myself, I speak for everyone here."

Jose Valdivia, the Nicaraguan manager of the shelter, is even clearer.

"Everybody, since the last election, we all wanted the Democrats to win, right? Because the Democrats look out for the little guy," he told me.

"That's what everybody here as a migrant wants, we want the Democrats to win. No one wants Trump."

Day in, day out, in any weather, the migrants line up for their appointment here at the border in Matamoros.

Along the almost 2,000-mile-long border separating Mexico and the United States, thousands of applicants are screened every day and allowed to enter America legally to start new lives in their new home country.

But these migrants are at the centre of one of the most divisive issues in America right now.

Since the summer, border restrictions introduced by the Biden administration , combined with assistance from Mexican authorities who hamper the movement of migrants to the border, has brought about a large reduction in the number of people illegally entering America.

Despite this, President Biden is widely considered to have failed on immigration, and while Kamala Harris's team have been working hard to cast her as a sort of new candidate and a breath of fresh air, she is - whether they like it or not - part of this administration and is tainted by its perceived failures.

The latest polls suggest Donald Trump scores well on the immigration issue, and his team have been releasing pointed "attack ads" on Kamala Harris and her team on this subject. They in turn have released adverts attacking Trump.

In the debate itself, Trump is widely expected to try to nail Harris on immigration, and she will have to find a way to counter that.

Undoubtedly, she will point out that Trump's supporters kiboshed a cross-party action plan for migration, but she is still tainted for certain.

While this will all play out in the political rough and tumble of the electoral process, it is important not to forget that thousands upon thousands of people will be affected by America's future stance on immigration.

And for some asylum seekers, it is quite literally a matter of life and death.

Republican House panel subpoenas Gov. Walz in investigation of Minnesota nonprofit that ran a Covid aid scheme

WASHINGTON — The House Education and Workforce Committee issued subpoenas Wednesday to Minnesota Gov. Tim Walz, the Minnesota Department of Education and the U.S. Department of Agriculture for how they responded to what federal prosecutors have called the largest pandemic fraud scheme s in the country.

The subpoenas, obtained first by NBC News, demand that Walz, Minnesota Commissioner of Education Willie Jett, U.S. Agriculture Secretary Tom Vilsack and Agriculture Inspector General Phyllis Fong turn over documents concerning oversight of the nonprofit Feeding Our Future, which is alleged to have misused millions of dollars intended to feed children during the pandemic.

Walz's record has faced new scrutiny since Vice President Kamala Harris tapped him as her running mate last month, though this new request by the Republican-led committee is part of an investigative effort that goes back to 2022.

Rep. Virginia Foxx, R-N.C., the committee chair, wrote in a letter to Walz that the committee is requesting this information to show "the extent of your responsibilities and actions addressing the massive fraud that resulted in the abuse of taxpayer dollars intended for hungry children."

A Walz spokeswoman called the alleged fraud "an appalling abuse of a federal COVID-era program," adding: “The state department of education worked diligently to stop the fraud and we’re grateful to the FBI for working with the department of education to arrest and charge the individuals involved.” 

According to a June state audit report , the Minnesota Education Department failed to properly oversee Feeding Our Future, saying the department's "actions and inactions created opportunities for fraud."

State education officials are tasked with overseeing federal programs that reimburse groups like Feeding Our Future for providing free, nutritious meals to children. The state audit called the Minnesota Education Department's oversight "inadequate."

Jett, the top education official, submitted a written response to the report that put the blame on the individuals involved in the scheme. “What happened with Feeding Our Future was a travesty — a coordinated, brazen abuse of nutrition programs that exist to ensure access to healthy meals for low-income children," he wrote. "The responsibility for this flagrant fraud lies with the indicted and convicted fraudsters.”

Following the report, Walz said there was no “malfeasance” at the state level. “There’s not a single state employee that was implicated in doing anything that was illegal,” Walz said at a press conference in June according to The Minnesota Star Tribune . “They simply didn’t do as much due diligence as they should have.”

In December 2022, Walz announced the addition of an inspector general position at the state department of education, “a critical step to ensuring proper oversight of federal funds,” he said in a statement at the time. 

Prosecutors allege that Feeding Our Future opened more than 250 sites throughout Minnesota and submitted fraudulent attendance rosters of the names of fake children they claimed were receiving the meals.

The U.S. Justice Department has charged 70 individuals in connection to the scheme. Eighteen have pleaded guilty and five were convicted in June.

The state education department reported Feeding Our Future to the FBI in April 2021 on fraud suspicions, according to the audit . The FBI started an investigation the next month. 

Prior to that, the education department had notified the USDA inspector general’s office in the fall of 2020 during President Donald Trump's administration about concerns over the growth of Feeding Our Future but the agency did not take action, the audit said.

Foxx, along with the Republican leaders of the House Oversight and Accountability Committee and the Agriculture Committee, first requested documents from the U.S. Agriculture Department in September 2022 after federal charges were unsealed in the case concerning Feeding Our Future. At that point, Republicans were in the minority in the House so they did not control committees.

Once in the majority in 2023, Foxx and her fellow committee chairs followed up with USDA. The group of Republicans also requested documents from Jett in June.

Foxx said in letters accompanying the subpoenas that both the USDA's and the Minnesota Education Department's "production of information has been neither timely nor fully responsive."

The top Democrat on the committee criticized the timing of the subpoena and noted in a timeline that it marks the first public outreach to Walz by Republicans. “The timing of the Republican’s subpoena to Governor Walz is weird,” Rep. Bobby Scott, D-Va., said.

Walz and the state and federal officials have until Sept. 18 to provide the requested documents, according to the subpoenas, though none of them are required to testify.

NBC News has reached out to all of the individuals subpoenaed for comment.
