Product details

A work plan is an important tool that helps project set tasks, manage workflow, and track the various components and milestones. The work plan is often six to twelve months in length, but it can be adjusted to suit the specific needs of the company. Implementing work plans helps formulate strategies for employees in a way that increases team focus and motivation. Examine these key components when developing work plans to make sure you are not overlooking important details. The first thing you need to do is define the goals and objectives. Without clear goals and objectives, team members blindly work on tasks without a goal. The first thing a work plan does is to define the goal of the project and the key objectives that the project will achieve. An analogy would be a soccer team that just runs and kicks the ball with no goal to score a goal on a certain side of the pitch, just a lot of running and kicking without reaching the goal. After goals are set, people are assigned to teams or tasks. The work plan can include various structures that include levels of hierarchy as well as levels of interdependent teams. For example, building a new plant requires a construction team, an administrative team, and a team of engineers. Each team has a leader who works with the other team leaders to keep things moving according to schedule and budget. There may be various other teams under each leader. A construction team may have a bricklayer team, an electrician team, and a heavy engineering team. The next thing you need to do is set a project schedule. The more time it takes to complete a project, the greater the cost of labour and materials. In addition, the longer it takes to complete a project, the greater the loss of opportunity. To set a budget, you need to assign teams and set deadlines. The project budget should break down the cost of each section and each team. Check cost-effectiveness in milestones to determine if the team is on track, over-budget, or over-budget. With goals, timelines, and budgets, the project manager can conduct quality checks. Team leaders must communicate progress, costs, and any challenges or obstacles within the time frame. This helps the project manager formulate a troubleshooting action plan before he turns the project off course, be it budget or deadline.

The work plan template will primarily be useful to the project manager. You will be able to describe in detail each stage of your project, determine the time frame and budget for each stage. Using this template, you can visually provide your team with data on the deadlines for participants at each stage. This template will also be useful for software developers. Marketers can use these slides when building an advertising campaign. Some slides give you the ability to create a work plan for the week. The work plan template will be useful to company executives when preparing a firm’s development strategy.

Introduction

A successful project won’t come together without a successful plan. If you have a project that you want to get off the ground, it's good to look at exactly what you want to achieve first, then Slidebean can help you achieve it successfully.

The most successful projects are those that are planned carefully, thoughtfully and meticulously. Here at Slidebean, we can offer you the best tools to help you organize your work plan effectively. Our template offers important and detailed stage-by-stage guidance to help motivate your team and get your project off the ground.

What is a work plan?

A work plan is a strategy for managing a project through carefully-mapped stages. A work plan can have a short or long timeframe, but most commonly the timeframe is around 12 months. There are various reasons for work plan implementation, but they mostly involve team focus, motivation, and breaking the goal down into specific, targeted phases.

Why do you need a work plan?

A work plan is crucial for getting a project implemented successfully. The best way to fulfill a work plan is to organize the plan around a specific team of people from beginning to end, utilizing their strengths and areas of expertise.

The most important part of the plan is the objective - i.e. what the project sets out to achieve. If it is a product, what does the product do and how does the product help the user to do it? If it is an experience, how will it be accessible and what does it give to the user?

The most successful projects are goal-focused. They look to the ‘why’ part of the “Why? How? What?” model. The ‘why’ is your true ethic and goal, your ‘how’ is your means of achievement and your ‘what’ is the product or experience that results from your vision. However, without an effective objective and plan, your project risks being unsuccessful.

Let's take a simple example. If, for instance, a chef has many ingredients that work well together, but he throws them haphazardly into one meal, he may end up with a workable product, but he has no guarantee how well it will work or how popular it will be. It will certainly not be a focused output and has no defined objective. But if he starts to consider a focused recipe, and plans a complete diner experience using his innate drive, passion, experience, research and understanding of his craft, he is far more likely to succeed and get return customers. Likewise, if a company wants to release a successful product, they have to first consider their ethic, how they can demonstrate this via a product and then they can plan the process from beginning to end.

The Slides:

Cover page:.

Something eye-catching and straightforward works best. This is to grab your viewers' attention and instantly let them know what your project is about and what you plan to achieve. Try to choose an attractive image that gets your message across, and that can also inspire your team.

1. THE BASIC INFORMATION:

This is a flexible section that can show the current state of the field in which you plan to introduce your project. The Overview section is useful for giving a graphical run-down of your industry status, but this could also be used for showing any previous research or figures.

2. THE DESCRIPTION:

This is your chance to really go into detail about exactly what your project is, who your market is, what you foresee your growth to be and any other key tenets.

3. GENERAL OBJECTIVE:

This is the meat of your project process - how you want to achieve your plan and the steps you will take to get there.

5. THE EXPECTED RESULT:

Utilizing the tables and graphs we offer, this is where you can show your team the forecast of how successful you expect your project to be. This section is also invaluable for showing, through enumeration and graphs, how your project will positively affect the market and peoples’ lives.

6. RESULTS FRAMEWORK:

This is where your numbers can be translated into cash. Take some time to show how your project will turn into sales, or, if your project is academic, how it will increase the value of learning in your field.

7. ACTIVITIES:

This is a detailed section about exactly what your team needs to do – who needs to do what, how, and over what period. You can break this part down into separate sections to show the responsibilities of each team or each team member, so you can show them that they are equally valuable and worthwhile in the project’s realization. This way, each individual sees how vital they are to the joint success of your enterprise.

Best Work Plan Templates For Easy Task Organization [With Examples]

A project’s success depends on having a detailed task plan. How can you perform tasks without having a plan for them? You and your team can produce the ideal work plan with the assistance of a perfect work plan template. Organizations can determine the success or failure of a project by having a detailed plan for all tasks. Work-hacking tricks and advice will only help if you put in the essential hours at the beginning by making a work plan in advance.

You need a comprehensive plan to ensure your project succeeds and achieves the desired results. This detailed guide will help you through the creation of a work plan and its benefits, along with work plan examples.

What is a Work Plan?

Before jumping into the details of how to make a work plan template, let’s first see what is a work plan. It is a document that facilitates more transparent communication between all project participants. A well-crafted work plan outlines the necessary actions to finish a job. It clearly states the intended result, main work streams, and deliverables needed. It also draws attention to dependencies and resources that are required.

Shows what is a work plan

A comprehensive plan may require meetings between key stakeholders and sponsors in the early phases. The first step is to set a goal and identify some strategic concepts. It will assist in clarifying scope restrictions, identify some of the more significant strategic considerations, and facilitate the development of a broad general outline.

Important stakeholders should review and revise a work plan template before the start of the project. It will take some time, but you’ll have a well-defined plan with everyone’s support when it’s finished.

Benefits of Using Work Plan Template

Now that you know what is a work plan let us see some benefits of using them. Consider the following advantages of using these templates for better work planning:

1. Increases Output

With the help of a work plan, you can progress steadily toward your objective by concentrating on finishing each task individually. You can allow enough time for each assignment by organizing your work. In addition, you can tackle your duties according to priority and prioritize them.

2. Enhances work-life balance.

Working wisely, instead of non-stop hustle, makes you effective. A work plan template helps you allocate your work in a way that makes sense for working hours and breaks, and it occasionally offers off time when available. Including downtime in your work schedule allows you to refuel and increase productivity. You can organize your working hours and leave plenty of time for leisure.

3. Keeps you motivated

It outlines an objective and the necessary steps to complete the work. You can track your progress and work towards reaching your weekly goal when you prioritize your duties and allot enough time for each one. The structure for defining goals can help with motivation, which is necessary for effectiveness and productivity.

4. Improves consistent workflow

Moving from a finished activity to a new one is simple without wasting time when you plan your work, and a work plan template helps to achieve it. A consistent workflow guarantees productive outcomes and keeps the atmosphere focused. Knowing what to do after finishing a task enables you to maintain momentum.

5. Teaches you how to set priorities

Planning your job with the help of a work plan template teaches you to prioritize important tasks over less important ones. Knowing how to create priorities is essential for an effective worker since it keeps you motivated to accomplish your objectives. Planning your job can help you keep your attention on meeting deadlines and finishing critical tasks, leaving spare time for fun pursuits.

6. Lets you manage your time

You can efficiently manage your time when you plan your tasks. An effective workplan template identifies the tasks you must complete and the time allotted to them. Think about scheduling some free time. Taking occasional time off is essential. An effective worker understands the value of time management since it increases productivity and self-control.

What to include in a Work Plan?

Now that you understand the purpose of a work plan and its benefits, let us see what information should be included in your work plan template:

Shows things to include in a work plan

1. Objectives

You must first clearly define the purpose of your project. By putting your primary objectives down in writing, you have a concrete document that you can always refer to and make sure your project stays on track with your objectives. Try to provide the background information about your goals and motivations.

2. Measurable Goals

After fully grasping your ultimate purpose, you must divide it into more manageable, smaller goals. It would be best if you considered SMART Goals in your work plan template:

  • Try to consider more precise goals.
  • Determine what can be measured.
  • Be specific about what you can accomplish.
  • Consider the elements that are pertinent to your company.
  • Recognize what you can achieve within the project’s time limit.

3. Techniques & Plans

It summarizes the steps you intend to take to accomplish the goals. The general goals of the project or campaign are the strategy, and the particular actions you will take to achieve those goals are the tactics.

For Example:

  • Expanding your retail business is your aim.
  • Your quantifiable goal might be to boost a particular product’s sales by 30%.
  • One tactic you might use is boosting website traffic to attract more users.
  • You plan to increase your internet visibility using PPC advertisements and SEO techniques.

4. Benchmarks

Ensure you are clear about any important deadlines you have set for yourself on the job. It will assist you in gauging the campaign’s effectiveness and the amount of effort still required.

5. Resources

You must assign precise duties using your workplan templates. Here, you can also outline the decision-making hierarchy and incorporate contingency planning. Consider who will oversee the project, for instance, if someone needs to take paid time off. This part helps you determine when you need to bring in more resources. There can be crucial project components where you must hire temporary staff to help manage the workload or collaborate with outside contractors to bring in more experience.

6. Budget Plan

Include a budget plan in your work plan template. Ensure you understand each project component’s approximate cost. As soon as expenses are confirmed, update your plan. Some project sections may be more affordable than initially thought so you might use the extra money for another component. You must be ready to manage your budget to demonstrate that you are getting a good return on your investment.

Types of Work Plan Templates

Understanding different work plan examples or plans helps the organization excel in various departments. Every work schedule will be unique according to other departments. They differ according to the kind of project, the number of participants, and the individuals who will use the plan daily.

Although it is difficult to classify these techniques due to their nature, we can identify three primary sorts:

1. Work Plan Example for Corporate Employees

Shows 100 Days Work Template

These plans are more limited in scope and concentrate on straightforward departmental projects. Their purpose is to assist your team in achieving its objectives, which will eliminate the need for permission from higher management. These little tasks typically come under your manager or department leader’s responsibility.

A work plan for an employee comprises the following:

  • Project objectives
  • A spending plan
  • Supplies and costs needed for the project
  • Due dates and the anticipated completion date.

2. Work Plan Example For Business Owners

Shows Work Plan Example For Businesses

Business owners require a comprehensive plan to effectively manage various aspects of their enterprises. This work plan template helps with the following:

  • Guides business owners in managing multiple aspects of their enterprises.
  • It includes financial goals, marketing strategies , operational tasks, and growth projections.
  • Help focuses on maximizing profitability and sustainable growth.
  • Provides a strategic roadmap for achieving long-term success.
  • It helps business owners track progress, make informed decisions, and adapt to changing market conditions.

3. Work Plan Example for Project Managers

work plan presentation template

Larger projects are better suited for managers. They involve long-term objectives and plans and need assistance from other departments. Typically, these initiatives have:

  • The anticipated effect on the business
  • Thorough risk evaluations
  • Detailed cost estimates and budgets.

These plans are large and complicated. Thus, getting permission from higher-ups is usually necessary.

How to Create A Work Plan?

You should follow these six steps while making a work plan template:

Shows How to create a workplan

Step 1: Set Goals

Every project needs a vision; you can’t waste time explaining the “how” if you haven’t determined the “why.” Establish some challenging yet attainable objectives for your project; these will direct all future actions and inspire your group to carry out the strategy.

You must develop these objectives while considering the company’s overarching vision. After all, even if the project is successful by your standards, it will be viewed as a failure by business leadership if your objectives disagree with the organization’s broader strategy.

The most significant error in goal-setting is imprecise language, such as “increase our brand awareness.” How would you determine if you’ve succeeded in your mission? Instead, if it’s feasible, create a target with specific statistics, such as “increase referrals by 20% by the end of the third quarter.”

Step 2: Specify goals and expected outcomes

Once you have established the goals, it’s necessary to specify the kinds of deliverables and targets in your work plan template. For instance, “contact 100 customers per week for referrals” or “launch a reward program” would be appropriate goals if you aimed to boost referrals by 20% over the following quarter.

These deliverables are the steps you’ll take to fulfill the more general objectives you previously established. Remember to give each goal a deadline. Set up prizes for your squad to receive when they meet goals. These rewards will increase output and foster a sense of appreciation among your staff. For example, please give them a monetary bonus or an extra day off.

If goals differ much, many work plans separate them into short, middle, and long-term goals. For instance, a company’s long-term objective to improve brand visibility in social media channels over the next year may differ significantly from its short-term goal of increasing viewership by 30% in three months.

Step 3: Make a resource list

It’s time to determine what resources you’ll need to understand your goals and how to attain them. If your goals are the engine and your objectives are the destination, then your resources are the fuel that powers your journey.

Although finance comes to mind when someone mentions resources, the term encompasses labor, space, materials, equipment, and equipment. It is everything that has a finite amount and can be depleted by a project. Please list every resource you can think of and include it with each goal.

Have your team brainstorm the resources that you will need. If you attempt to do it yourself, you’ll likely overlook a few items to list. Talking with the team will help them identify a few more resources the project will require.

Step 4: Determine the barriers

In addition to identifying potential roadblocks that might keep the project from succeeding, you must also factor in some space for unexpected difficulties in your work plan template. A corporation attempting to boost referrals by 20% can encounter challenges, such as lower-than-expected incentive program registration.

Alternatively, an unanticipated circumstance can compel your organization to reallocate human capital resources from your project. A quick idea is to prepare a backup plan for every scenario. For instance, if the rewards program is failing, you should have recognized a few other strategies for boosting referrals that you may redirect resources to immediately.

Step 5: Make a detailed plan

Now that you have everything you need to make a detailed plan and project schedule to put everything together. You outlined the deliverables in the second phase, but now you must dissect them into smaller steps.

When creating a rewards program, some steps you might take to reach that goal would be surveying current members to find out what kind of rewards they would be most interested in. You begin by investigating the worth of a referral to ascertain the amount to allocate for each incentive, establishing a framework for the scheme, crafting a webpage for the rewards system, and so forth.

Assign team members roles and duties for every task in the work plan. If you don’t do this, the project may get delayed since no one will know who will finish a phase—preventing some team members from doing most of the work. In contrast, others might contribute little to workload management.

Step 6: Start and analyze

Proceed and start the work plan template. After the project begins, make sure to assess its progress regularly. For a six-month project, this could mean once a week. You will likely encounter a few problems that require changing the work strategy. That’s what the fourth step was for.

Use the backup plan if you encounter one of the mentioned difficulties, and modify it as necessary. You should be adaptable enough to accomplish this if you’ve completed the proper project preparation.

Track projects and evaluate their performance with software. Since gathering all the required data by hand is tricky, use one of the many effective software programs available to collect data. It will allow you to develop an extensive report that will provide you with insightful information. It also helps you manage projects remotely.

How to Present a Work Plan?

Until now, we have covered work plan examples, benefits, templates, and how to create one. However, it’s also vital to understand how to present it effectively. You can use a video or PowerPoint presentation to present your plan. You can show your work plan template in PowerPoint using various shapes, tables, and animations. Here is how to effectively present it:

Understand Your Audience: Before delivering the work plan, ascertain the intended audience. Adjust the presentation to suit your audience’s expectations, interests, and degree of experience.

Organize Your Presentation: Start by outlining the goal and parameters. A rational framework, such as an agenda, can guide the presentation. Divide the material into manageable chunks and cover essential topics such as goals, assignments, due dates, resources, and completion dates.

Focus on Main Takeaways: Emphasize the most essential elements, such as the deliverables, milestones, and project goals. Make sure that everyone understands the plan’s benefits and anticipated results. Emphasize how the plan satisfies the needs and concerns of stakeholders while also being in line with organizational goals.

Tips For Creating The Best Work Plan Templates

Identifying strategies and methods to support the main goals is vital for creating the best workplan templates to facilitate proper work planning. Here are some tips for you:

1. Proceed in reverse from the ultimate objective

Plan your tasks by hierarchizing primary efforts and working backward from the end aim. Developing the plan by repeatedly improving the strategy, goals, and underlying techniques is possible. Consider multiple factors to create an outline. The procedure should begin with the inclusion of the primary goals and a concise checklist.

2. Set objectives with quantifiable outcomes

After you finish the project outline, it is critical to include specific, achievable deliverables in the action plan. Monitor the advancement of deliverables through milestones in a framework focused on outcomes. It helps create a timeline that will help you determine what needs to happen and when.

3. Develop relevant and attainable goals

A solid plan will frequently branch out from strategy to aim. For instance, a limited number of strategies, each with one or a few objectives, may support a single goal. Objectives frequently include a variety of methods that you should use to create the specific tasks completed in a reasonable amount of time.

The more detailed tactical strategy will be straightforward to follow. Divide the tasks into smaller tasks corresponding to discrete work units producing distinct deliverables. Monitoring the project’s progress with the predetermined deliverables is crucial.

4. Define roles and duties

One of the most essential parts of the work plan template is assigning duties and specific tasks to the identified stakeholders. In this manner, everyone on the team can work by the vision. The completed work plan is a living document with a complete list of all necessary actions, deliverables, and due dates.

After the project starts, monitoring performance and regularly revisiting the goals outlined in the tactical plan is critical. On a step-by-step worksheet, you can observe incremental developments regarding objective metrics.

For a project to succeed, work planning is crucial. Without it, your productivity and efficiency at work would be at risk since you’ll keep running into bottlenecks. Fortunately, making a work plan is relatively easy. All you have to do is do the actions we have already outlined. However, remember to use project planning software, which helps you collaborate with the project team and monitor progress while providing you with a visual overview of all the work involved.

How detailed should a work plan be?

The level of detail depends on the project’s complexity and stakeholders’ preferences. It should strike a balance between providing sufficient guidance and avoiding unnecessary micromanagement.

Establish clear roles and responsibilities, track progress regularly, provide feedback, and encourage open communication to foster accountability and ownership among team members.

What is a Work Plan

A work plan is a simple project plan template that works as an organizational tool. It specifies the processes required for a project and sets reasonable completion dates.

This type of project planning aims to establish a visual reference for the project’s goals, objectives, tasks, and team members responsible for those tasks.

Project planners encourage everyone involved in the project to actively participate and communicate. Project managers can develop an overall project work plan and then create phase-specific individual work plans for complex projects with several phases of completion.

A work plan template helps save time as you switch between projects. Your template can be modified to add, remove, or replace team members or tasks. It can also include customized prompts for setting objectives or goals.

Typically, a work plan template includes the following areas:

  • Group duties
  • Individual responsibilities
  • Project phase deadlines
  • Budget for the project
  • Potential setbacks

Why Is a Work Plan Necessary

During the project management phase, a project work plan template serves as a road map for the full project execution.

It creates structure and guarantees the support of important stakeholders, relevant departments, accountable leaders, and more.

In addition, it assists in managing the expectations of all of the above-mentioned parties. Like how project plan templates direct project teams, work plans do the same.

They clarify specific tasks and outcomes for each team member, paving the way for accountability and successful collaboration.

What are the Different Types of Work Plans

Work plans come in many different shapes and sizes. Work plans can be adapted to suit the roles of individuals responsible for executing them. That said, the work plan’s actual content may differ depending on the project’s intended use.

Understanding project specifics and duties allows you to establish team roles, lower the possibility that you and your team will go over budget, and increase the likelihood that you will accomplish your goal within the given time frame.

As you choose the form of work plan to create for your present project, take into account the following typical types:

  • Work Plan for Employees This work plan includes the team members and personnel who will be working on the project. It can provide guidance and detailed tasks for each individual role in the project. This strategy can also help your staff members comprehend their present and future roles and their interactions with their coworkers. It can be used by small groups to establish objectives, track progress, adhere to deadlines, and stick to the project schedule to finish the project. Work plans for employees could include: The project’s objective. Predicted budget for the project. The supplies and costs needed. Estimated due dates.
  • Work Plan for Managers To discuss team activities, evaluate accomplishments, and set future objectives for each department or team, a project manager from any department within an organization may construct work plans for their departments. It could include short-term objectives and metrics that management can use to monitor progress, like a thorough budget, performance data, and project or department development details. This work plan may include the following to help project management by providing a wider scope: How the project is advantageous to the company. The company’s complete descriptions of project expenses. Predicted and actual budgets. Project timeline with all the tasks that need completing. Statistics demonstrating how the business can profit (more sales, visibility, or traffic).

How to Create a Work Plan Template

After determining which kind of work plan best suits your needs, you should consult with those who will be assisting in its execution. To establish and explain your long-term and short-term goals, you can decide if you wish to create a number of work plans or stick to one.

Following these steps will help you create a work plan that will assist your team in organizing its goals.

  • Establish objectives and goals Setting specific goals and objectives is the first stage in developing a work plan. Your objectives should be clear and measurable, focusing on the bigger picture. For instance, if you’re launching a new product, your objective might be to attract 100,000 website visitors over the course of the following six months. Launching a fresh social media campaign could be one of the objectives for that goal.
  • Define the duties of the team Assign team members to lead each effort after you’ve determined the goals. A leader should be appointed if a team is being formed to carry out certain tasks. Assign hierarchy levels if the project is vast and complex with numerous teams. A project manager could be in charge of multiple team leaders, meeting with just those people and concentrating on the overall development to keep a project on track.
  • Create project schedules Setting deadlines helps teams stay on target and controls costs. You can set a realistic deadline for completing your task and be willing to adjust your team’s plan if there is a chance to adopt a more efficient technique. When drafting your business plan, take into account the SMART goals principles, which stand for: Specific: Be sure to set clear and explicit goals, objectives, and next steps. Measurable: This is where you will state how your project progresses toward your objectives. Attainable: Your team can actually complete your goals and objectives within the allotted time limit if they are deemed to be attainable. Relevant: Match your values and long-term aspirations with the target, task, and goal. Time-specific: Your plan allows you to set priorities for your time since it has a realistic finish date.
  • Create a budget It’s time to estimate expenses and develop a budget after you are certain of the resources your job plan will require. Simply decide on a measurement unit for your labor, materials, and other resources to do this, and then give each one an estimated price. Obtaining quotations from other vendors may be part of your work plan. You should allocate distinct duties to the various teams and break down expenditures in your budget. You can assess your expenses and ascertain whether the team is on budget by reviewing them each time a team completes a task or reaches a new milestone. If the team is running behind schedule or over budget, you can reallocate resources from other departments or postpone the project altogether. With a thorough work plan, you can identify areas where your team needs extra resources and adjust your plans accordingly.
  • Outline any risks, restrictions, and suppositions The more information you have regarding restrictions and potential hazards, the better your team can carry out its duties to create deliverables and accomplish the project’s goals and objectives. Remember that your work plan template is the action plan that will direct your project. During the project, it’s possible that some team members will take a few sick days, there will be unforeseen jobs to complete, or certain tools will break down, necessitating the expenditure of more funds. Any potential risk that could develop into a full-blown constraint and affect the fulfilment of deliverables or even the project goals and objectives should be considered, regardless of the project limitations.

3 Steps to Create a Work Plan Template

  • Plan ahead Every transformation begins with an idea. The concept, though, simply isn’t strong enough to persuade anyone that it’s a good one. So now begins the bulk of a product manager’s labor: Create a document of initiative – This will serve as the main document for your work plan, where you will compile all pertinent notes and data. This document includes every element of the initiative, including any future communications or updates related to the entire project plan. Create a user story or something similar – Here, you must provide your project, the intended user group, and the value it offers the company. This will lay a strong basis for the remaining work you’ll perform using your work planning template. Check whether the concept fits the present product’s core principles and purpose – It must address current goals and OKRs and suit the existing product vision and strategy. Without it, it will serve as a detour from the existing course. A well-written work plan can be a foundation for defining the period’s OKRs. Pick the product metrics you want to address – It’s time to connect your solution to your product metrics and goals after you’ve confirmed the context. It’s acceptable to have suggestions that improve product quality rather than directly affect any KPIs in order to promote long-term retention. Conduct analysis and prototype discovery – Even though it’s not always practicable, make an effort to look up the answers to the following questions: Was this solution evaluated by competitors or potential competitors in other product areas? Do we have the appropriate project management software? Is there a scientific study that examined the theory in a controlled setting? Have researchers examined, for instance, how gamification affects users’ behavior? Are you able to predict how the initiative would affect product metrics? Which user personas will benefit from the update? What alternative approaches exist for this problem? Decide the internal stakeholders – High-level executives, developers, researchers, business analysts, and other product managers. Set up a project launch event – Once you’ve completed your due diligence, schedule a meeting to bring together all the necessary stakeholders and get everyone on the same page. The major objectives will be to develop a more concrete product plan and identify any gaps or unanticipated dangers that might stand in the way.
  • Kick-off Now that the product manager has finished all of the necessary planning, the kick-off meeting can be considered a sort of handoff meeting. The duty of making it happen is largely transferred to the development team following this discussion, even though the PM doesn’t immediately move on to studying another proposal. You must see all work through to completion if you are a product manager who also manages projects and leads the development team. Whatever your role, the following topics need to be covered at the kick-off meeting: Presentation of conclusions by the product manager. Discuss those conclusions to ensure everyone in the meeting is on the same page. Creating a plan for the high-level technical requirements and the timeline. Recognizing the risks and coming up with strategies to reduce them. Seeking an MVP that can be used to test the product idea as soon as possible. This can refer to various things, such as a product discovery process showing a mockup of the update to random individuals or a fully functional update with possibly only a chosen pool of targeted users. Creating a timeline with expected check-in spots. Deciding on anticipated delivery dates and parties in charge. Confirming the conditions. Final question-and-answer period to ensure that everyone leaves the room at the very least in peace, if not upbeat and confident.
  • Analyze Now you need to reflect on how the strategy is coming together at this point. Try to respond to these inquiries: What follows the MVP, whether it is successful or not? What elements of a successful MVP need to be improved the most? Does the outcome of this project affect your future plans? How? Can other areas of the product/company have any ownership in this update (i.e., when your trial is carried out as a minor side project but is so effective that it promises far greater results than other roadmap items planned)? Are there any opportunities that this change opens up? In general, take a seat and consider your options. Waiting until the update is available to accomplish that would be inefficient. A successful result should be pursued right away since every day you don’t build on it is a day you’ve lost.

Work plan templates will come in handy when preparing for a product launch or new company project. With all of the necessary information in one document, it’s easy to refer to and helps teams stay organized.

With the right work plan template, you can streamline your workflow and improve efficiency within the company.

Annual Planning Templates: How to Make your 2021 Annual Plan

Ximena Portocarrero

It’s that time of the year when annual planning returns to the top of your list. And while you already have some great ideas in mind, the hardest part is to document and lay out the whole plan. So today I’ll show you 15 free annual planning templates you can download right away and use in the making of your annual business plan.

What’s an Annual Plan?

Annual Planning Report

Before we start, let’s be clear on what “Annual Plan” means. An annual business plan is a work plan that outlines the goals, resources and operations a company will execute in a 1-year period. It usually includes an annual budget, project deadlines, roles and responsibilities. In other words, the annual plan acts as a roadmap for the organization and aligns internal teams to the yearly business goals.

As you can see, the annual plan sets the direction a company will go for the next 12 months. But, how to do annual planning? It really depends on how big the company is and how detailed you want your work plan to be. In the following section, I’ll cover all the essentials you need to make a strong annual plan.

work plan presentation template

How to Create a Successful Annual Plan? (+ Free Planning PowerPoint Templates)

Most people know that annual planning involves assessing past results, setting realistic goals and defining how to achieve them. But it doesn’t end there! A crucial part of the annual business plan is the implementation and for this you need to effectively communicate the new strategies. To make all this happen, the 24Slides designers have created a selection of amazing PowerPoint templates to help you in the process of making and sharing your annual plan. Let’s see each step in more detail below:

Step #1: Assess Your Current Situation

Planning is all about reading a situation and making informed choices. So step #1 in your annual planning process is to review last year . It’s important to determine what worked and what didn’t work for the business. To do this you can gather data from past reports or talk to managers from each area. You can also interview key roles like customer service reps to know what clients liked or disliked from your products. All the activities in this stage should help you identify what went well and what could be improved next year.

December Calendar Template for Annual Planning

To maximize your productivity, use a planning tool like the December calendar template . It will help you manage your time and keep things running smoothly from the beginning. In this template, you’ll find horizontal and vertical December calendars you can pick from to visualize your monthly activities. And if you prefer to see each event in detail, opt for this corporate agenda template .

Business Review Template for Year-End Presentations

Once you have all the information you need, it’s time to put together your findings and conclusions. For this, the Business Review template is a great platform to showcase the analysis you’ve done so far. It features charts, diagrams, and timelines to review key areas such as finances, marketing, operations, sales, and others. Plus, having your initial ideas in a structured report will make your annual planning easier as you can come back to these points at any time in the process.

The most important advice I can give you for this step is to be honest with yourself. Remember that you can’t change what you don’t acknowledge, so being objective while assessing your current situation is crucial.

Step #2: Set Goals and Priorities

Now that you know where you stand, it’s time to look ahead. Where do you want the company to be next year? This is where you think about all the possibilities and pick the ones that can work within the situation of the business (that’s why the first step was so important!). I’m sure there are a million things you’d like your team to accomplish, but you need to be realistic with your annual goals.

Blue Pyramid Diagrams in PowerPoint

A good practice to start goal-setting with the right foot is to identify the business priorities . And for this, Pyramid diagrams are perfect to order topics in a hierarchical way. With these triangle shapes, you’ll be able to rank “problems to solve” according to its relevance, available resources, or impact on the business. This approach allows you to set criteria for every topic you want to work on and see what you should address first in your annual plan.

With all this in place, you already have a clear sense of where the company is going and now you’re ready to use one of the most powerful tools for annual planning: the OKR framework template

OKR Framework in PowerPoint for Annual Planning

Objectives and Key Results (OKR) is a goal-setting system that makes you focus on your annual goals and how to make them happen. First, you set your Objectives, which should answer: What do you want to achieve next year? And then your Key Results or the measurable ways you can prove you’re achieving the objectives. Here’s a simple OKR example :

  • Objective: Improve your brand presence online
  • Key Result 1: Hit 200,000 visits to your website every month
  • Key Result 2: Collaborate with 5 micro-influencers in a product release campaign

Check out this article to learn more about how to set your OKR goals !

Step #3: Define Your Strategies and Actions

Next on your list is the HOW of your plan . Note that in the OKR framework, your Key Results work as strategies for reaching your objectives. This means you can go straight to defining your actions. However, if you’re still new to OKRs, use this visual method:

Circle Mind Maps for Planning

Circle mind maps are simple yet powerful tools to come up with new ideas. Just place your goals at the center and use the branches for the actions your company should take. This is a great way to focus on what you want to accomplish while mapping out your business strategies . Here are some examples: Improving your customer service, targeting a particular niche, or increasing your company’s sustainability. Remember that they should be aligned to your goals and broad enough to break them into actions.

Corporate Gantt Chart Slide

Following, you can use Gantt charts to plan out the actions involved in each strategy. These corporate Gantt charts are perfect to distribute your team activities throughout the year and set monthly or quarterly deadlines. You can also color-code events according to their status. As you can see, Gantt charts are an easy way to organize strategies and actions for the annual business plan.

30 60 90 Business Plan Presentation Template

And here’s an extra annual planning template! If you want to group your objectives, strategies, and actions in a single place, check out the 30 60 90 business plan template . It has creative timelines, a table chart, milestone slides, and more to showcase everything you’ve worked on so far. The great thing about a 30-60-90 plan is that it allows you to implement quickly and test your plan in the first 3 months. This way you can see if you’re on the right path to close the gap between where you are and where you want to be next year.

Step #4: Share the Action Plan with your Team

One of the top reasons plans fail is because there’s no clear implementation strategy. Thus, it becomes hard – if not impossible- to integrate the annual plan into the day-to-day operations. Luckily, we’ve addressed all this in step #3, but there’s still one thing left: communicate the HOW to your team .

What’s the use of putting together a great annual plan if you can’t execute it, right? That’s why a detailed action plan is key to help your staff understand how their efforts contribute to the company’s success.

Work Plan PowerPoint Slide with illustrations of employee working from home

And when it comes to sharing a work plan, this template is a must-have in your annual planning toolkit. The Work Plan PowerPoint template will help you showcase the next projects and activities. You can include business goals and key results so everyone knows what the company expects from them. And the best thing is that it’s full of engaging visual elements to hold your team’s attention exactly where you want it to be.

RACI Matrix PowerPoint Slide for managing teams

However, this stage is not only about stating what needs to be done, but also who is responsible for each action. To keep a common understanding of who does what in your plan, use the RACI Matrix template . With these charts you’ll be able to distribute tasks evenly and assign key responsibilities according to the RACI criteria: Responsible, Accountable, Consulted, and Informed. As a leader, you know how crucial effective communication is when managing teams, for that reason a RACI Matrix could be a great addition to the delivery of your action plan.

At this point, we’ve covered from activities and resources to deadlines and roles , which leaves your team ready to carry out the annual business plan.

Step #5: Implement and Review

The most common mistake in planning is believing that it ends when everything is up and running. And sure, it’s a huge accomplishment that what you had on paper is being executed in the real world. But don’t let that fool you! Your annual plan has one step more: Review the results.

The purpose of this stage is to evaluate the performance of your plan and determine whether your annual objectives were met. And, although most people do this at the end of the year, a recommended practice is to conduct these reviews every three months . This gives you the opportunity to see what’s working or not early in the year and adjust the direction of your actions on time.

Corporate Quarterly Business Review chart

Use the Quarterly Business Review template to compare your current metrics to the objectives you’ve established in step #2 . It has roadmaps and data charts to review your business performance, analyze quarterly projects, and monitor your team’s progress. Plus, with this corporate template, you’ll be ready to present early results to key investors or any other stakeholder interested in how the company is doing.

And there you have it: The 5-step annual planning process! But remember that it works like a cycle. Planning is iterative: you ideate, execute, review, and take what you’ve learned from the experience back to step #1 . This way you’re able to gain insights on what works best and craft stronger annual plans each year.

PRO TIP: How to Really Nail your Annual Planning?

Traditionally, people associate annual plans with large documents. The ones loaded with data and projections about the company. And while it’s important to have your annual plan in a well-organized document; this doesn’t add much to step #4: Sharing the action plan with your team .

Think about it: On top of their day-to-day tasks, will your team be able to read a text-heavy document from cover to cover? Of course not! And a huge part of your annual plan success involves getting everyone on board and excited about the upcoming projects. So, how about making your annual plan a presentation instead?

Business Charts in a Laptop Screen

With an annual plan presentation, you’ll have control over how the company vision is delivered than through a Word document. This is also a great opportunity to motivate your team over what’s to come and resolve any question they might have. And what’s even more important: By the end of the day, you’ll make sure everyone is on the same page about the company’s direction for the upcoming year. It’s a win-win!

You can start building your presentation right now with the annual planning templates you’ve seen above. They’re all from Templates by 24Slides , our platform of free PowerPoint resources . Here you can download thousands of corporate PowerPoint templates and even opt for templates according to the industry you work in! Look at these examples:

What Is a Work Plan? How to Make a Work Plan In 7 Steps

ProjectManager

Before you can accomplish your project goals, you need to plan how to reach them. A work plan creates a clear path project teams can follow to reach their desired goals and objectives. Along that path will be resources, constraints and other work management elements that need to be described in your work plan.

What Is a Work Plan?

As its name suggests, a work plan is an action plan that helps project teams achieve their goals. Work plans factor in key project planning elements such as tasks, milestones, deliverables, resources, budgetary requirements and a timeline to weave it all together.

The work plan won’t be written and initiated by a single person and it should be submitted to board members and stakeholders for approval. Once approved, you can continue building out the rest of your work plan.

Why Do You Need a Work Plan?

As we mentioned, your work plan acts as your roadmap for the entire project execution. Not only will it keep you and your team organized, but it’ll ensure that you get buy-in from key stakeholders, related departments, relevant accountability/risk leaders and more.

Additionally, it helps manage expectations on both the stakeholder level as well as on the managerial and team member level—everyone that starts off on the right foot has a better chance of landing on the right foot, too.

Work plans guide project teams in a similar way project plans do. However, there’s a big difference between these two important project management documents .

Work Plan vs. Project Plan

Work plans are not as comprehensive as project plans , which have a wider scope and involve more components. The main difference between them is that project plans are created from a high-level view and address every aspect of project management. On the other hand, work plans focus on helping project teams achieve smaller objectives.

If you build your work plan in project management software like ProjectManager , then it’s easy to continue to iterate on your plan and make improvements over time. You can use robust project planning tools such as Gantt charts, kanban boards, project dashboards and much more. Get started today for free.

How to Make a Work Plan in 7 Steps

While work plans might take many forms, here are some simple work planning steps you can follow to make one.

1. Set Goals & Objectives

Before anything, it’s important to write down the goals and objectives that’ll be achieved through your work plan. These will describe the purpose of your plan. It’s important to use SMART goals : create goals that are specific, measurable, achievable, relevant and time-related. This should help you start your plan off on the right foot.

Your goals might sound like your purpose, but they’re more specific in that they’re more long-term oriented — i.e., your team learned more about the process of launching a bug fix or how to respond more directly to customer or market feedback.

Similarly, your project objectives should be measurable. For example, the objective of this project after launch is to create an increase of xx% of active monthly subscribers, or a certain dollar amount in revenue generated.

2. Define the Scope of Your Work Plan

Once you’ve identified your work plan goals, you should use a work breakdown structure (WBS) to identify all the tasks that must be executed to achieve them, which is your project scope. By breaking down your project scope, you can start assembling a team, estimating costs, creating a budget and drafting a project schedule.

Free WBS template

3. Estimate What Resources Are Needed

When you break down your project scope using a WBS, you can better estimate what resources are needed for each task in your work plan. Make sure to include different types of project resources, such as human resources, raw materials, machinery, subcontractors or anything else that you might need for the execution of your work plan.

4. Assign Roles & Responsibilities

Now, assemble a project team and clearly define the roles and responsibilities of each member. Communicate with them and make sure they understand what their job is and how they can collaborate with each other.

RACI chart example in ProjectManager

5. Estimate Costs & Create a Budget

Once you have a clear idea of what resources are needed for your work plan, it’s time to estimate their costs and create a budget . To do so, simply establish a measurement unit for your labor, materials and other resources to then assign a price to them.

Free project budget template

6. Create a Project Schedule

There are different tools and techniques you can use to create a project schedule for your work plan. In fact, most project managers use Gantt charts, project calendars, kanban boards.

7. List Any Risks, Constraints and Assumptions

Remember that your work plan is the action plan that’ll guide your project, so the more details you have about constraints and potential risks, the better your team will perform their tasks to produce deliverables and achieve the goals and objectives.

Maybe some of your team members take a few sick days during this period of time; maybe unexpected tasks have to be executed; maybe some of your tools crash that requires more money pulled from the budget. Whatever your project constraints may be, factor in anything that might feel like a risk that can lead to a full-blown constraint, which may affect the completion of deliverables or even the goals and objectives of your project.

Free Work Plan Template

Our work plan template can help you document the steps explained above. Be sure to constantly monitor your template and update it as changes occur in your planning process. Or, if you’re looking for more dynamic project planning tools, you can use Gantt charts.

A work plan template can help you organize your thoughts, but in order to create your action plan and execute it, you’ll need dynamic project management software to help you throughout the planning, execution and monitoring phases.

Work Plan Example

Here’s a basic example to better illustrate how a work plan works. Let’s imagine you’re a business owner who wants to increase your production output by 25 percent by acquiring new machinery and hiring more production employees. While this project doesn’t involve producing tangible deliverables , you’ll still need a work plan.

Goals & Objectives It’s important to define one primary goal and then some smaller, more specific objectives needed for the completion of that goal.

Main Work Plan Goal Increase production output by 25 percent.

Work Plan Objectives

  • Improve the company’s production capacity by acquiring new machinery
  • Fill skill gaps in the production planning team
  • Make sure machinery is well-maintained

Scope of the Work Plan Now, you should list individual activities that must be completed in order to achieve your goal and objectives. Here’s a simple breakdown of activities.

  • Inspect the production line
  • Perform preventive maintenance
  • Optimize plant layout
  • Acquire new machinery
  • Assess the current team
  • Hire new personnel

Resources/Roles & Responsibilities In this case, you’ll need a production manager, HR manager and maintenance team. They’re responsible for executing the tasks listed above.

Work Plan Budget Your budget should cover both the labor costs as well as the cost of the new equipment. Your labor costs will be the salaries of the production manager, HR manager and maintenance team. Make sure you estimate your project costs accurately before creating a budget.

Work Plan Schedule Define a timeframe for the analysis of your production line, the procurement of new machinery, preventive maintenance and hiring.

Risk, Assumptions & Constraints Think about any risks, assumptions or constraints that might affect your work plan. The best place to start is the triple constraint of time, budget and resources.

Project Work Plan Template

Efficiently communicate your project objectives and align your milestones using the Project Work Plan Template. The systemized presentation of the project timeline, budget, and deadlines can help share with the team all expectations that will result in better output. An ideal project plan is defined as a document that contains all the details and deliverables of the project. Along with other benefits, a project outline develops better coordination between different working components, e.g., team members, stakeholders, supporting members, etc.

Some critical elements of a project plan are:

  • Determination of the objective
  • Deciding the budget and appropriate allocation of resources
  • Timeline distribution according to the tasks
  • Assignment of project tasks to relevant team members
  • Breakdown of deliverables in the form of milestones

The Work plan template slide is divided into two sections: A horizontal timeline diagram showing the check-points of Time, Objective, Budget, and Team and a 3×4 table representing Phases and Milestones. This table shows the milestones of the project tasks represented by the numbers mentioned in the columns, while the continuity of work blocks is marked with A, B, and C. In general, the design and continuous segmented arrows depict a process or project workflow.

30 Simple Work Plan Templates (For Any Project)

Organizing the work efficiently for maximum output and minimize the wastage related to resources, time and effort, a good work plan is needed. Taking up a task without any planning is certainly not a professional way of doing things and will lead to failure. To manage things professionally, you need a process-oriented approach and the best tool to do this is a work plan template.

Work Plan Templates

What is a work plan format.

A work plan template shows all of the involved tasks in a project, who’s responsible for each of the tasks, and when you expect to complete the tasks. Project owners usually request contractors like you to provide a work plan or work timeline project as part of your proposal.

As soon as your project starts, you will use this plan as a tool for monitoring to see if you’re on track. The work plan format becomes useful when:

  • You have to make a simple plan for your proposal.
  • You have to make a simple plan for project monitoring.
  • Your client hasn’t provided you with a template for the plan.

Work Timelines

What is included in a work plan.

A work plan template is a written document that helps streamline projects. The main objective is to give you a visual reference of the tasks, goals, and objectives of your plan and the team members responsible for each of the areas.

You should include all the members of your team in your plan. You should also keep your plan updated based on its current status and progress. If your project is more complex in nature, it’s recommended to create your own work plan template.

But if you are already clear about the project and you know what it requires to achieve success, using this template can save you effort and time as you will only fill in the required information. Generally, a plan includes:

  • Setting the objectives and goals
  • Establishing the responsibilities of each member
  • Setting the timelines of the project
  • Creating the budget

Before you start a project, especially a big one, it’s always a good idea to first work through these steps so that every team member gets clarification about their responsibilities. Moreover, it reduces the chances of going over budget while increasing the probability of achieving your goals within the timeframe you set.

When do you need a work plan template?

You may use a work plan template at the start of your project, usually for strategic planning purposes. You can also use it to determine the project’s scope where it is continuously updated as your project moves forward with real-time data.

Work plans become especially useful if you’re working with complex projects , dealing with several stakeholders or working with cross-functional partners. Like in most projects, it’s normal for things to evolve during the course of the project. Remember that a program plan template can’t be all-encompassing and it shouldn’t be either.

List as many strategies, objectives, tactics, and goals as you can along with the dates for each task. To make things easier, use project management software to help you monitor tasks, assignments, and dates.

Project Work Plan Templates

How do you write a work plan.

The creation of a work plan template requires a lot of effort and time plus the collection of as many details as possible. Here are the things you should focus on when creating your work or program plan template:

  • Identify the basic information These include the name of your project, its purpose, and a general timeline to inform your stakeholders about your project. Whatever your project’s ultimate purpose is, you should state this at the beginning.
  • Put the plan into context To make a better outline of your work timeline project and why you need to implement this project, you need to write an effective introduction along with a background relevant to your objectives. Creating this context and establishing the main problem helps justify why you need a solution.
  • Establish the project’s objectives and goals Most of the time, people mistake goals for purposes but they aren’t the same thing. Goals are more specific in the sense that they are usually long-term. In the same way, make sure that you can measure your project objectives. It’s recommended to use “SMART” goals. This abbreviation stands for: Specific (rather than vague or difficult to understand goals) Measurable (you can measure it) Achievable (and realistic) Relevant (to the problem) Timeframe (which means that you can accomplish it within the timeframe)
  • Define your resources and allocate them Make sure that you address these questions when defining and allocating your resources in your work plan template: What is your budget? From which department will you allocate the budget ? Which software tools do you need to streamline your project?
  • Understand the constraints and limitations A project can often get subjected to constraints and limitations, most common of which are budget, resources, and time. Since you have already listed all of these in the previous steps, you can now factor in the risks that could hamper your processes. For instance, it might happen that one of your team members might need to take a couple of days off during the duration of the project, one of the key liaisons in the department has to attend to an emergency or maybe some of your software tools have crashed, and you need more money from the budget to fix them. Whatever the constraints might be, you should factor in anything that feels like a risk that might lead to a bigger problem.
  • Discuss the risks and accountabilities It is important that you assess risks from as many angles as possible. For instance, consider vacation time and paid time off that your team members have accrued along with legal holidays. Consider any freak accidents that might affect your timeline or budget directly. You need to assign someone to take charge of these in case any of these risks happen. Strive to create a sense of accountability that prepares all of your team members to have a stake in the successful results of your project, and to reduce the likelihood of errors.

You should also cover all of the basics and all of the detail in your work plan. Every potential red flag or question covered will bring you closer to get a go-ahead signal from your stakeholders. Then you can start your project with the right mindset and expectations.

How to Create a Successful Project Presentation

How to Create a Successful Project Presentation

Written by: Unenabasi Ekeruke

An illustration showcasing a project presentation being built.

You’ve spent time working on a project that could be a potential game-changer for your company or client. Now you’re buzzing to present it to your team, investors and other key stakeholders.

Creating and delivering project presentations can be nerve-racking and you probably have one question running through your mind.

How do you get the decision-makers to understand your project or secure their buy-in?

Considering that some companies have had about 12% of failed projects in the past year, you want to create presentations that are not only convincing but memorable.

With the right project presentation deck, you can win and keep your audience’s attention long enough to explain project details and why it’s sure to succeed.

Not sure how to create successful project presentations? We’ve got you covered.

This article will show you how to set project goals and create winning presentations that take your project to the next level.

Here’s a short selection of 8 easy-to-edit project presentation templates you can edit, share and download with Visme. View more templates below:

Let's get to it.

1 Set Goals for Your Project

Before you dive into the main details of your project presentation, you want to answer these questions:

  • What is your project set out to achieve?
  • Why is it important for you and your team to achieve your set goals?
  • How do you plan to communicate your goals to your audience?

If you have to make long guesses before answering these questions, you’ve got a lot of work to do.

Here’s what you should know. Beautiful or well-articulated project presentations aren’t a substitute for project planning. Without clear goals, your project is already set up to fail. And your investors might think, “why bother listening?”

Many project managers tend to rush through the goal-setting phase, but we don't recommend this. That’s because you could be setting yourself up for failure.

Once you clearly define your project goals, you can get stakeholders to buy into them.

Now the question is, how do you set goals for your project and achieve them? One way to do that is by using the SMART goal setting method.

Setting SMART Project Goals

SMART is an acronym that stands for S pecific, M easurable, A chievable, R elevant and T ime-Bound.

SMART goals are a staple for planning and executing successful projects. It takes a deeper look into the finer details your audience care about, such as:

  • Project plan and schedule,
  • Project timelines,
  • Milestones,
  • Potential roadblocks and more

For example, let's say your project aims to improve customer experience on web and mobile devices. Notice this example describes the end goal. But it doesn’t specify how you’ll work to enhance customer experience.

Here’s how using SMART goals provides direction for your planned project.

When setting your goals, be clear and specific about what you want to achieve in the end.

A specific goal could be: “We want to build a responsive website and mobile app for our company to improve customer experience. This project will require inputs from our product design, software and marketing department”.

Measurable

During your presentation, you'd have to answer questions like:

  • What metrics will you use to determine if you meet the goal?
  • How will you know you’re on the right track?

Having metrics in place will help you evaluate your project. Plus, you’d be able to monitor progress and optimize your project to achieve better results.

It doesn’t matter if you’re planning a short-term or long-term project. Ensure you set metrics and milestones that count towards your goal.

From our earlier example, a measurable goal could be to have:

  • Over 100,000 mobile app downloads on Google Playstore and Apple App Store.
  • A 20% bounce rate on your website and a 15% conversion rate on mobile and web.

Attainable

One of the most critical questions you want to ask during goal-setting is, “Can we achieve our set goal?” Do we have the resources to accomplish the goal within the available time frame?

If the answer is no, then you’d have to consider what it would take to achieve those goals. This may require adjusting your goals or the resources needed to achieve your goal.

Although it’s okay to be ambitious, you should also be realistic.  For example, getting 200,000 app downloads in one week could be overly ambitious if you’ve just launched your app. However, if you set out to achieve that goal in three months, that could make your project practicable.

Your project goals need to align with your broader business goals. Are your goals relevant to the growth and success of the company?  Are they worth allocating resources for?

For instance, if your company is B2B and doesn’t plan to expand to the B2C market, launching an e-commerce website would be an irrelevant goal.

Time-Bound

Regardless of your project type and size, you should set time frames. Setting target dates for deliverables creates a sense of urgency and motivates you to hit your goals.

From our example above, a time-bound goal could be “We aim to achieve 100,000 mobile app downloads and a 15% conversion rate by the end of the fiscal year. Our company will launch the mobile app by Q3 with a robust marketing campaign that will run through the end of next fiscal year.”

Setting SMART goals doesn’t have to be a challenging task. Use the template below to set project goals that position your business for success.

Communicate Project Goals to Your Team Members

After you've set your goals, your team will play a key role in helping you achieve them. So you ensure they understand these things:

  • Why the project goals are in place
  • What it's supposed to deliver for your business and customers
  • How their role, team and department contributes to the success of the project

Unless you’re clear on this, the project can derail and move in all sorts of unwanted directions.

Rather than slam the goals you’ve set on your team, make it a collaborative effort.  Spend time talking to your team and stakeholders about the project goals.

Don't limit your communication to people within your department. You can reach out to people in other departments like sales, operations, finance, etc., to see how well your goals align with theirs.

To give your team a better understanding, you can communicate your project goals in a variety of ways, including:

  • Visuals (videos, images, charts, infographics, etc.)
  • Verbal presentation
  • Documentations

By doing that, you’re sure to get their valuable feedback, buy-in and commitment to the project. Plus, getting your team on board with your project plan will up your chances of successful execution.

2 Lay Out Your Project Plan

Once you’ve set your goals, the next big step is to outline how you'll achieve them. An excellent place to start is by organizing your project into an actionable plan and steps for execution.

You might wonder why this step is important for creating a successful project presentation.

Whether you’re planning a small or big project, writing a detailed plan, structure and layout puts everything into perspective. It eliminates vagueness and helps your audience grasp the project roadmap without missing the points.

Your project plan should contain the technical and non-technical project details. Therefore, you want to give yourself an edge by using a project presentation template that clearly explains all the activities and steps.

Not only that, your presentation structure should be simple and easy to follow.

Depending on the project type, your plan could include key details such as:

  • The goals and objectives you've outlined earlier
  • Your project scope, methodology and framework
  • Project milestones, deliverable and acceptance criteria
  • Project schedule and timelines
  • Resources and budget estimates, etc.

A project management presentation template available to customize in Visme.

There's no hard and fast rule for laying out your project plan. However, if you want to create a memorable plan that will keep your audience engaged, you could break it down into three parts, including:

Introduction

  • Conclusion and key takeaways

Your introduction should provide a brief overview of what you’re going to talk about and why it’s relevant to your audience. You could start by writing down the project name and the executive summary.

Think of your executive summary as an abridged version of the project plan.

If your audience read only your executive summary, would they have all the information they need about your project? If the answer is yes, your executive summary has served its purpose.

The length of your executive summary will depend on what you intend to cover in your project plan.  However, we recommend keeping your executive summary one or two pages long.

You can include key information such as:

  • Objectives of the project
  • Key points of the project plan
  • Results, conclusions and project recommendations

Keep in mind that not everyone will have the time to dive into the details of your project plan.

Having a snapshot of your project brings clarity to key stakeholders and collaborators. It also enables people who aren't actively involved in the project to understand it at a glance.

Ready to create your own presentation in minutes?

  • Add your own text, images and more
  • Customize colors, fonts and everything else
  • Choose from hundreds of slide designs and templates
  • Add interactive buttons and animations

The body of your project plan is where you have the full project details and everything relevant to its success.

Here you can break your project into deliverables, tasks, milestones and schedules (start and end dates).

Ensure you precisely define the resources you need to complete the project, including finances, team, time, technology, physical resources and more.

This is the part where you sum up your project plan with key takeaways. Your conclusion should include what you expect from your audience, including key action points and next steps.

Writing your intro, body and conclusion may sound like a lot of information. But instead of writing multiple pages of text, incorporating visuals can make your project presentations more effective.

By using images, videos, infographics and charts , you can capture all the vital information and help your audience understand your message better.

Visme presentation templates are effective for visualizing different sections of your project plan. They are professionally designed and easy for anyone to craft high-quality project plans that keep their team on track.

Use the project plan templates below to kickstart your project planning process.

3 Outline the Problem and Solution

You've just spent time crafting your project action plan. Now it’s time to communicate your project plan and goals with your audience.

Project presentations are a lot like sales pitches. Whether you’re presenting your project plan to clients or creating a pitch deck for investors, your job is to keep your audience hooked right from the start till the end.

One of the most potent ways of grabbing your audience's attention is by highlighting their pain points.

It’s not enough to have beautiful slides that showcase your amazing product features and project activities.

Make sure you set up your project presentation to:

  • Outline your audience pain points
  • Emphasize how your project, product or service works to address their pain points
  • Explain how they’ll benefit from using your product or investing in your project

In a nutshell, your audience should have a clear insight into how your project makes their life better. When they’re clear on this, they’ll most likely listen to the solutions you bring to the table and take the desired action.

Don’t make sweeping assumptions about your audience.

If you’re looking to get them on board, dedicate a slide to discuss their problems and solutions. Make them understand how your project benefits them.

Not sure what your audience's pain points are? Go ahead and do these things:

  • Run a persona survey or interview existing customers. This will help you build a data-driven user persona that you can use for all types of business and marketing decisions.
  • Talk to your customer support and success team. They have close relationships with your customers, so they know their challenges and what they want. If they don’t know these things, do them a favor and create a customer success program .
  • Interact with your community, ask for feedback and involvement. The more you engage with your consumers, the more you understand their challenges, work toward solving and get them invested in your brand.
  • Keeping an eye on relevant social media trends,  Twitter hashtags, Facebook trends
  • Join relevant online forums like Quora, Reddit, Stack Exchange, etc.

4 Keep Your Presentation Slides Short

When creating project presentations, prioritize quality over quantity. Be sure to keep your slides short and simple. When you do this, your audience will be glad you value their time.

Remember, this isn’t the time to slam your audience with lengthy and irrelevant jargon. Instead, keep your slides on topics and hit the main points without the boring and unnecessary details.

Here’s why you need to keep your presentation brief:

  • Concise presentation slides are not only powerful, but they are also memorable.
  • Studies have shown that during project or business presentations, attention levels drop sharply after 30 minutes . By creating lengthy presentations, you risk losing your audience's attention halfway.
  • Nobody wants to sit and watch you flip tons of slides for hours. With shorter slides, you can capture your audience's attention and get them to focus on the message.
  • Most people might have limited time or have short attention spans. So they’d want to quickly digest information and move on to the next best thing.

How do you keep your project presentations short?

  • If your slide doesn’t add value to your presentation, it shouldn’t earn a spot on your deck.
  • Supercharge your slide deck with captivating visuals that capture more information
  • Adopt proven methods for preparing your slide

For example, the 10/20/30 rule by Guy Kawasaki is one of the most popular methods used by experts. The rule recommends using ten slides for 20 minutes presentations (about two minutes per slide). It also specifies using a font size of at least 30 for text.

This will enable your audience to digest the messages on your screen while you’re talking.

A business model presentation slide available in Visme.

Keep in mind that this isn’t an iron-clad rule for presentation. There are other rules such as Pecha Kucha method , Takahashi method, Lessig method, etc. You can adapt any of these rules to suit your project presentation needs.

5 Use Less Text and More Visuals

Another great way to keep your slides brief yet interesting is using less text and more visuals.

Remember, your slide should aid your verbal presentation and not replace it. So you want to avoid crowding too much information on one slide.

Cluttering your presentation with too much text could:

  • Overwhelm your audiences and bore them
  • Shift your audience's attention to the text, making your presentation less effective.

Instead, use one slide to present each idea. Marketing guru Seth Godin recommends no more than six words per slide .

People retain more information when it’s presented in bite-size chunks and visuals. This applies to B2B, B2C audiences, project managers and corporate executives.

About 59% of business executives say they’d rather watch a video about a topic than read about it. Hence the need to supercharge your project presentation with compelling visuals that capture and bring your audience’s attention right where you want it.

Steve Jobs’ MacWorld Keynote presentation in 2007 is an excellent example of how to enhance your presentation with compelling visuals.

6 Use Quality Visuals, Diagrams and Presentation Aids

Visuals are important for making successful project presentations. Beyond grabbing the audience’s attention and keeping them engaged, viewers recall 95% of a message when presented in visual form. But when shared via text, they retain only about 10%.

There are many types of visual aids you can use in your presentations, including:

  • Graphs and charts
  • Heat and choropleth maps
  • Scatter plots
  • Screenshots and more

Using images and videos will up your chances of getting audience engagements and positive responses to your call-to-action (CTA).

Gantt charts , whiteboard drawings and mind maps are ideal for visualizing early-stage project designs. You can use charts, diagrams, maps and trees to present the project architecture for technology-related projects.

If you’re working on product development projects, consider adding sketches, flowcharts , models and prototypes to your slide.

Pie charts are excellent for showing percentages. Vertical bar charts indicate changes over time, while horizontal bar charts help you compare quantities.

Infographics are perfect for visualizing data and explaining complex information like market trends.

Here’s the interesting part. Visme has the tools you need for every job. The software allows you to add different visuals, infographics, charts and graphs to your deck and customize them to suit your needs.

You can change design, text and background colors, add or remove legends, animate charts, etc.

You can also use maps to represent geographic information. Or, use progress bars, thermometers, radials and widgets to visualize stats and figures as shown in the template below.

When adding visuals to your slide, don’t go overboard. Stick to a minimum of two images per slide. In addition, make sure your visuals are relevant to your project presentation.

While designing your presentation slides , always stick to high-quality visuals.  Blurry or low-resolution images or videos can be a major turn-off for viewers.

With high-quality visuals, your presentations will be crisp and clear, even on large screens.

The slide below is an excellent example of how to power your presentations with compelling visuals.

7 Pay Attention to Design

Want to create impressive presentations that pop? If the answer is yes, you need to pay attention to your design details. Your design can make or break your project presentation.

Whether you are an experienced designer or a novice, design tools like Visme give you an edge. You can create compelling presentation designs for your business in a few minutes.

The beautiful thing is that you don’t have to break the bank to make stunning project presentations. You'll find beautiful ready-made templates and millions of stunning royalty-free images for your slides.

Here are tips you should consider while designing your slides.

Use the Right Color Combination

If you want to make your presentations appealing, use color moderately.

We get it; everyone loves color. But using too many colors can make your presentations look chaotic and unpleasant.

Your color choice can influence how your audience grasps and responds to your presentation. A general rule of thumb is to pick colors that evoke positive emotions in your audience.

For example, warm colors like yellow, orange and red convey feelings of excitement and positivity. On the other hand, cool colors (blue, green and violet) reflect an aura of calmness.

When combining colors, aim for a balanced color scheme. For example, if your slide or image background is dark, your text and design elements should have bright colors. This contrast will make your project presentation legible and visually appealing.

You can learn about color psychology and how to use it in your next presentation design by watching the video below.

Use Clear and Consistent Typography

Optimizing your typography can make a difference in how people perceive your message. So you want to make sure your slide looks organized, professional and sends the right message.

Here’s how you can make this happen:

  • Use fonts that embody the spirit of your brand
  • Keep your text styles consistent throughout your presentation. We recommend you stick to a maximum of three fonts.
  • Avoid fancy fonts and tiny text that strain the reader's eyes. Rather use fonts like Arial, Time News Roman, Calibri and other legible fonts suited for small and large screens.
  • Use a font size of at least 30 for the body text and 36 for titles.

In addition, remember to present your text using the color scheme we mentioned earlier. This will keep your text visible over your background.

Take a look at this slide from one of our presentation templates. Notice how the design, fonts and color combination blends in to make the visuals pop.

8 Start With a Presentation Template

Whether you’re a newbie or pro, creating project presentations that pack a punch can be time-consuming.

Let’s say you’ve got a deadline looming. You’d have to deal with writing your project outline, preparing your slide notes, designing your slides, sourcing and incorporating visuals and more.

Handling these things from scratch could slow you down or make your presentations untidy.

Using presentation templates could save you from all the stress. They help you make professional-looking project presentations fast and easy.

Since the slides are pre-designed, you’ll find a place to insert every possible piece of content you need. Be it a progress bar, chart, graph, table, video or image, the design is right there.

All you need to do is type your content, input data or insert the image. And boom, your presentation is ready to go.

In addition, using presentation templates offers brand consistency in terms of font, style, layout, colors and overall design. You can customize and share templates with your project team to keep your presentations uniform.

The title and main body slide, image and chart layout and fonts are set in the template. Therefore formatting your slide becomes a breeze—no more messy or cluttered project presentations.

Visme has a wide selection of templates designed to make your presentations shine. You’ll find millions of pixel-perfect graphics, icons, design elements and professionally designed templates for any purpose, industry and project type.

Regardless of your skill level, you can customize your templates like the one below. Just add your content and your project presentations will be ready in a few minutes.

9 Present Your Project Like a Pro

If you follow all the tips we shared above, you’ve probably got the perfect project presentation on paper.  Great stuff, but your job isn’t done yet.

Your delivery is the final piece of the puzzle, and you’ve got to make it count.

Here’s the thing. Your presentation could flop if the delivery isn’t convincing. Hence the need to plan your delivery and drive your message across with passion and enthusiasm.

Here's how to deliver project presentations that leave an impact.

Practice Makes Perfect

Did you know that Steve Jobs used to spend two days prepping for presentations? Yes, you read that right.

Practice is one of the key steps to nailing your delivery.

You can practice by reading out loud in your quiet space. While you’re at it, make audio and video recordings and watch them repeatedly.

Ask your friends and colleagues to serve as a test audience and give feedback on your presentation.

This run-through will help ensure your presentation captures the main points within the allotted time. It will also help you maintain the correct body posture during your project presentation.

Make time to check if the equipment is working and get familiar with the settings and operations. This is especially important if you plan to use video or audio in your slides.

Start With a Strong Opening

Your audiences could have short attention spans, so make those first moments count. With solid openings, you can hook your audience and set the mood for a successful presentation.

Steve Jobs’ 2005 Stanford commencement speech at Stanford is an excellent example of having a solid opening. With over 4 million views on YouTube, it’s one of the most memorable and watched speeches in history.

work plan presentation template

Notice how he hooks the audience with powerful anecdotes about his life, beginning from dropping out of college. And then, he goes on to share the lessons he learned in his early days at Apple, losing his job in 1985 and reflections on death.

Here’s how to make an excellent opening speech that grabs the audience’s attention and convinces them you’re worth listening to:

  • Ask a question
  • Tell a compelling story
  • Share mind-blowing facts and statistics
  • Show captivating video and visuals that spark curiosity
  • Open your presentation with humor

Be sure to tailor your opening hook to your audience. To make this effective, it’d help to know about your audiences, including their likes, dislikes, cultural and ethical dispositions, etc.

If you want to learn more about making captivating presentation openings and more, read our guide on starting a presentation .

While presenting your project, focus on your audience’s needs. By doing this, you’ll build an emotional connection and drive action.

However, don’t go overboard. Be genuine and focus on getting the points across to them. This way, you’ll gain their trust and build excitement about your project.

Keep in mind that everything may not go as planned. It’s best to have backup materials and be flexible enough to make necessary adjustments. Preparing for unexpected events will give you more control over them.

End Your Presentation on a High Note

After you've delivered a fantastic presentation, make sure you wrap it up in a memorable way. Doing this will leave a lasting impression and nudge your audiences to take action.

One way to end your project presentation is to use a powerful call to action.

You can also tell memorable stories, summarize the main points and highlight compelling figures about the project.

For example you can mention some really intriguing figures like:

  • Expected growth rate, return on investment and profit margin
  • Potential company valuation in the next five to ten years.
  • Projected earnings and market position etc.

The goal is to hype your audiences and stimulate them to take action.

What is a Presentation Template?

A presentation template is a collection of pre-designed slides with organized layouts, formats, and designs. So, it is easy to create a presentation if you already have the templates. Moreover , all you need to do is write the key points of your presentation in the format provided, which will save you time and effort. As a result, you will be able to concentrate well on the content rather than the design.

How to Choose Presentation Templates

Picking the right presentation template is key to getting your message across. Therefore, Din Studio offers a bunch of free presentation templates to help you grab and hold your audience’s attention.

First, consider who you’re presenting to and what you’re presenting about. Because the styles of business presentations, school lectures, and creative projects are different.

Next, think about the kind of information you have. If you’re sharing statistics, pick a template with infographic slides. However, if you want to use pictures and videos, choose one that works with text, photos, and videos.

A clean, easy-to-read design makes your presentation look professional. So avoid cluttering your slides with too much stuff. In addition, keeping the colors, fonts, and layout consistent across all slides helps your audience follow along, thus strengthening your presentation’s visual identity.

Last but not least, choose a template you can easily edit to fit your needs. Being able to change things around to your liking will be a big help. So, keep these tips in mind, and then you’ll be well on your way to picking the perfect template for a powerful, engaging, and professional presentation.

6 signs your organization needs a better presentation template

6 signs your organization needs a better presentation template header

Josh Storie

A good presentation template can work wonders. It can save your people time. It can boost your brand. It can help everyday presentations look clean and professional. It can also make it easy to convey an idea clearly and memorably.

But a bad template? It can do exactly the opposite. It can take up valuable employee time. It can dilute and harm your brand. It can make your presentations look, as the kids say, “cringe.” And it can harm the clarity of your message .

At Duarte, we’ve made thousands of presentations over our 35+ year history for some of the world’s biggest brands. From internal corporate decks, investor pitches , walking decks , sales enablement decks, conference keynote presentations … the list goes on.

Today we’re going to dive into the use cases of a presentation template, and when a company might need or want one.

"Never deliver a presentation you wouldn't want to sit through" Duarte's Golden Rule

What is a presentation template?

A presentation template is a set of pre-designed slides already made with a branded, professional look that can be lightly customized for a specific purpose. They typically are made for the purpose of scaling efforts, and in a corporate setting, are used for sales enablement , sales pitches, corporate internal decks, branding and marketing decks, and more.

These templates usually include on-brand design elements like backgrounds, effects, color palettes, layouts, fonts, icon libraries, asset libraries, chart libraries, boilerplate messaging and sample slides for different use cases. They save an organization an immense amount of time as individuals won’t need to design every presentation they make from scratch. They can just select from their pre-determined template the slides and options they want to use for their individual use case.

The best presentation templates are also audience-first . Meaning, they’re designed with the end user in mind so that they are engaging, relatable, and even accessible so all can feel included and welcome during any presentation.

6 signs to know if your organization needs a presentation template

1. people don’t use the template you already have..

If you hear people in your organization say that using your current template is “too hard” or that “it doesn’t have what I need,” you need a better template. Or maybe people use it, but only halfway. If you see people Frankenstein-ing presentations together by inserting their own icons and pictures, using all kinds of different fonts, or pulling slides from a variety of other decks because the current template doesn’t give them the slide layouts or assets they need, it’s time for a better deck.

Why this matters: This is a huge time waster. One example, if your sales team is constantly reinventing the wheel and making a new sales pitch deck for every other sales demo, this is costing you and them valuable time. It’s less time on the phone, and more time working on something that could’ve been handed to them already done, and in a clean, professional, and scalable way, like what we did with Veeam .

2. You need consistency that scales.

Think about if you were running a big conference or event with lots of breakouts, like Dreamforce . It would take an internal design team hundreds of hours to make all those presentations. But the flipside is if your speakers are in charge of making their own slides, it’s tough to ensure consistency across every breakout, as well.

Why this matters: If you had a great slide template that can scale, it would ensure every audience in every room is receiving the same level of quality and user experience with your brand and event.

3. It’s clear your sales team isn’t comfortable with graphic design.

Great salespeople adapt their sales pitch to the needs of the customers. But adapting the pitch oftentimes means adapting the slides. And since your sales team wasn’t hired for their graphic design skills, the new slides can detract from the pitch itself (and probably make their marketing counterparts cringe in disbelief.)

Why this matters: Meeting with potential clients is another touchpoint with your brand. Sales meetings (and the decks within them) should match the professional look of your website, the first-class feeling they’ll receive from your product and service, and the professional experience they’ll receive from your sales team by being a part of your sales funnel. A professional sales deck that doesn’t look like a default PowerPoint template is imperative to not just stand out, but get the point across that your companies cares about details.

Sales enablement blog cta

4. New technology is limiting technical abilities.

Let’s say you’re making the switch to or from a new slide software like PowerPoint, Google Slides, Apple Keynote , or Canva. There’s always a learning curve when a new technology is introduced. And if there’s not a template that helps users produce quality presentations regardless of their familiarity with the new software, it won’t take long to realize you’re in need of a better template.

Why this matters: Our world-class presentation designers make slide templates in whatever presentation software tool your company prefers. Trust us; we know a thing or two about converting fonts, colors, aspect ratios, and more when it comes to slide presentations built on different platforms. Let us save you the headache and time.

5. Your unique brand needs to stand out.

Whether you sell chocolate or medical devices , your presentation template systems need to be the perfect combination of consistent, business-specific design and ease of use. This means it needs to be on-brand, in your color palette, catered to your audience, and it should include simple rules to follow and easily adaptable templates. One way we help with this is by including icon and asset libraries.

Asset libraries

Great presentations use a variety of visual elements to support content. Our presentation designers will make, and stock your asset library with beautiful, clever, and effective illustrations and images. This way, everyone who will make presentations with your slide template can easily access approved visual elements.

Icon libraries

Our presentation designers are artists. And they often make custom icons for our clients, including custom icon libraries. We take the time to understand the needs of your presentation deck, your business, and your customers, and we tailor everything we do accordingly.

Why this matters: Never send your employees to hunt for a perfect icon or image again, especially when they don’t exist! Equip them with everything they need for all business use cases in advance.

6. Your employees need template training.

You can arm your company with a wonderful presentation template, but that is half the battle. Now, you need to make sure they are oriented on where to find everything they need and how to use it. This will ensure faster adoption.

We provide presentation guidelines, walkthroughs, and mini-tutorials when we hand over our presentation templates to our clients. Sometimes we’ll even do a quick sales enablement training live .

Why this matters: We ensure that our template systems are fool-proof. They can stand up to the worst of conditions, like bad lighting, meeting accessibility standards , projection system variations, and inexperienced users.

Add the necessary project status update slides to your PowerPoint report template. Here are some tips that can help you work with a project report template:

1. Use Gantt Charts

Gantt charts are an excellent way to illustrate a project schedule in the form of a bar chart. This type of chart is a staple for any project status report.

Project Status Report PowerPoint

2. Talk About Solutions

Even when these details were laid out before the project was started, talk about how your project is solving problems. This helps connect your audience with the problem and solution again.

3. Break Your Project Down

Project status reports are about breaking down the components of your project, so turn them into digestible pieces. Consider one slide that contains a road map, section breakdown, or project phases.

Rima – Business PowerPoint Template

4. Add an Expenses Page

The road map to achieving a particular goal is important, and so is including your expenses. This expense slide can be a simple list of all the expenses that you've accrued.

5. Add Milestones

On a project status report, include all the milestones that you've reached. Add any future milestones that you plan to reach with your project. This is essential for your audience to know what you've done and what you plan to do.

Project Plan - A4 Vertical PowerPoint Template

6. Add a Summary Slide

Be it at the beginning or the end of your presentation, it's a good idea to add a summary slide. This can be where you highlight the essential topic you'll touch on or give a reminder of what you just mentioned. Either way, it can help your audience keep their attention on crucial aspects of your presentation.

7. Provide Helpful Links

A great PowerPoint presentation shares the key points of a specific subject. However, sometimes, project status reports require more information and data. To that end, it's helpful to include links to resources that can help your audience seek more information if they need it. Here's one example of how to do it:

work plan presentation template

8. Highlight Next Steps

Last but not least, highlight next steps. Knowing the basis of where the project is at is incredibly helpful. However, it's just as (or even more) important to let your audience know what actions you'll be taking to keep the project progressing. Don't forget to highlight the course of action so everyone can be on the same page.

Deliver the most up-to-date designs to your audience in your project status reports. We've collected five of the top design trends in 2024. Use them in your own PowerPoints:

1. Include Multi-Colored Charts

Make the charts more interesting. Use many complementary colors to highlight lines, bars, and tables. Blue, green, and red colors work exceptionally well here.

Multi Colored Charts

2. Add Dimension

Make your design seem more interesting and appear to pop out of the slides. Layer your elements on top of each other. This gives a sense of dimension in your slides that looks visually pleasing. Add solid shapes on your slides as this is one standard design that always looks great.

3. Use Highlight Colors

This can really help give a hierarchy to your slide design. This color can be a highlight color that's used for on the various shapes on your slides. Draw attention to a particular section on the slide, and display the most important information on that slide.

Highlight color

How Democrats learned to love Project 2025

How Dems learned to love Project 2025

CHICAGO—When Democrats arrived on Sunday night for their party’s national convention, they were greeted with a special message projected onto the exterior of the Trump International Hotel and Tower.

Republican presidential candidate former President Donald Trump gestures after speaking at a campaign rally at Trump National Doral Miami on Tuesday.

It seems like Project 2025 is everywhere. But what is it?

“Project 2025 HQ.”

It was another sign of how the Democratic Party has worked to co-opt and weaponize a conservative action plan for Trump’s second term as a rallying cry and organizing tool for their supporters. The plan is playing a prominent role in the speeches and programming at the Democratic National Convention this week.

Nearly a year ago, Democrats began working to raise awareness of Project 2025 , an obscure document written by conservatives and for conservatives, to make it into a household name.

North Carolina voter Ina Schuner printed out Project 2025 and put it in a massive three-ring binder so she could study it.

How Project 2025 entered the mainstream

The message reached North Carolina voter Ina Schuner, who had voted Republican her entire adult life until former President Donald Trump came on the political scene.

Earlier this year, she printed out the entire document and put it in a massive three-ring binder. It took more than a ream of paper.

“This is it,” Schuner said, pulling the binder out from the back seat of her SUV. “It’s very thick as you can see, 900 pages.”

“This is the destruction of democracy,” she said. “They literally wrote it down.”

TikTok explainers played a major role

Project 2025 was produced by the Heritage Foundation, with contributions from former Trump administration officials. It includes plans for everything from cutting off access to medication abortion to “deconstructing the administrative state” by replacing tens of thousands civil servants with political appointees.

The fact that regular voters like Schuner know about it is a triumph for Democrats, who have been working to inject it into the American political bloodstream.

Schuner isn’t sure where she first heard about it. But she thinks it may have been TikTok, where there are thousands of explainer videos.

Harris campaign communications director Michael Tyler says back in the spring, the campaign noticed online conversations bubbling up organically, and saw a chance to make Project 2025 a shorthand for all things Trump.

“They're not necessarily going to go and Google every single policy proposal, but you say, ‘Hey: google Project 2025:’ that is a very easy way for folks to dig in and understand, writ large, the threat that Trump poses to our economy, our democracy, and our way of life,” Tyler said.

Trump disavowed Project 2025. That spurred more interest

Then on June 30, Taraji P. Henson hosted the BET Awards, and told viewers to google it.

“They are attacking our most vulnerable citizens. The Project 2025 plan is not a game. Look it up!” Henson said.

And, look it up they did. The campaign even created a website for people to land on if they searched it.

Paul Dans, director of Project 2025 at the Heritage Foundation, has stepped down after former President Donald Trump became angered by news reports tying him to the plan's policy proposals.

Project 2025's director steps down, but the think tank says work will go on

Then, former President Donald Trump added rocket fuel by disowning the plan.

“I have no idea what it is,” Trump said in an interview with Fox News.

“It’s a group of extremely conservative people got together and wrote up a wish list of things, many of which I disagree with entirely. They’re too severe.”

Trump hasn’t been clear about which parts he supports and what he thinks is too extreme. But Democratic strategist Jesse Ferguson said the denials aren’t working.

“There’s a wise phrase that describes how voters saw Donald Trump’s approach to Project 2025: he who denied it, supplied it,” Ferguson said.

Back in May, the Democratic-aligned polling group Navigator found fewer than a quarter of people knew what Project 2025 was, Ferguson said. But now, 59% of people know what it is. The overwhelming majority view it unfavorably and most associate it with Trump.

“This plan has escaped from being simply a policy white paper in Washington into a household brand and a well-known blueprint,” Ferguson said.

Now Project 2025 is part of Harris' stump speech

And it is now a regular part of Vice President Harris’s stump speech. As Harris toured swing states with her running mate, Gov. Tim Walz, she used Project 2025 to contrast Democratic values against those of Trump.

“Donald Trump has a different plan: just look at his Project 2025 agenda,” Harris said on Aug. 10 in Las Vegas, drawing a chorus of boos from the audience. “I keep saying, ‘I can't believe they put that in writing,’” Harris said, prompting laughter.

Heritage has been drafting plans for Republican presidents since the time of Ronald Reagan. But they’ve never before entered the mainstream, said Frank Luntz, a pollster who spent most of his career on GOP messaging.

“The Democrats were successful in defining and demonizing Project 2025 before anyone even knew what it was,” Luntz said.

NPR’s Alejandra Marquez Janse and Jordan-Marie Smith contributed to this story.

What is Docker?

Docker is an open platform for developing, shipping, and running applications. Docker enables you to separate your applications from your infrastructure so you can deliver software quickly. With Docker, you can manage your infrastructure in the same ways you manage your applications. By taking advantage of Docker's methodologies for shipping, testing, and deploying code, you can significantly reduce the delay between writing code and running it in production.

The Docker platform

Docker provides the ability to package and run an application in a loosely isolated environment called a container. The isolation and security lets you run many containers simultaneously on a given host. Containers are lightweight and contain everything needed to run the application, so you don't need to rely on what's installed on the host. You can share containers while you work, and be sure that everyone you share with gets the same container that works in the same way.

Docker provides tooling and a platform to manage the lifecycle of your containers:

  • Develop your application and its supporting components using containers.
  • The container becomes the unit for distributing and testing your application.
  • When you're ready, deploy your application into your production environment, as a container or an orchestrated service. This works the same whether your production environment is a local data center, a cloud provider, or a hybrid of the two.

What can I use Docker for?

Fast, consistent delivery of your applications.

Docker streamlines the development lifecycle by allowing developers to work in standardized environments using local containers which provide your applications and services. Containers are great for continuous integration and continuous delivery (CI/CD) workflows.

Consider the following example scenario:

  • Your developers write code locally and share their work with their colleagues using Docker containers.
  • They use Docker to push their applications into a test environment and run automated and manual tests.
  • When developers find bugs, they can fix them in the development environment and redeploy them to the test environment for testing and validation.
  • When testing is complete, getting the fix to the customer is as simple as pushing the updated image to the production environment.

Responsive deployment and scaling

Docker's container-based platform allows for highly portable workloads. Docker containers can run on a developer's local laptop, on physical or virtual machines in a data center, on cloud providers, or in a mixture of environments.

Docker's portability and lightweight nature also make it easy to dynamically manage workloads, scaling up or tearing down applications and services as business needs dictate, in near real time.

Running more workloads on the same hardware

Docker is lightweight and fast. It provides a viable, cost-effective alternative to hypervisor-based virtual machines, so you can use more of your server capacity to achieve your business goals. Docker is perfect for high density environments and for small and medium deployments where you need to do more with fewer resources.

Docker architecture

Docker uses a client-server architecture. The Docker client talks to the Docker daemon, which does the heavy lifting of building, running, and distributing your Docker containers. The Docker client and daemon can run on the same system, or you can connect a Docker client to a remote Docker daemon. The Docker client and daemon communicate using a REST API, over UNIX sockets or a network interface. Another Docker client is Docker Compose, that lets you work with applications consisting of a set of containers.

The Docker daemon

The Docker daemon ( dockerd ) listens for Docker API requests and manages Docker objects such as images, containers, networks, and volumes. A daemon can also communicate with other daemons to manage Docker services.

The Docker client

The Docker client ( docker ) is the primary way that many Docker users interact with Docker. When you use commands such as docker run , the client sends these commands to dockerd , which carries them out. The docker command uses the Docker API. The Docker client can communicate with more than one daemon.

Docker Desktop

Docker Desktop is an easy-to-install application for your Mac, Windows or Linux environment that enables you to build and share containerized applications and microservices. Docker Desktop includes the Docker daemon ( dockerd ), the Docker client ( docker ), Docker Compose, Docker Content Trust, Kubernetes, and Credential Helper. For more information, see Docker Desktop .

Docker registries

A Docker registry stores Docker images. Docker Hub is a public registry that anyone can use, and Docker looks for images on Docker Hub by default. You can even run your own private registry.

When you use the docker pull or docker run commands, Docker pulls the required images from your configured registry. When you use the docker push command, Docker pushes your image to your configured registry.

Docker objects

When you use Docker, you are creating and using images, containers, networks, volumes, plugins, and other objects. This section is a brief overview of some of those objects.

An image is a read-only template with instructions for creating a Docker container. Often, an image is based on another image, with some additional customization. For example, you may build an image which is based on the ubuntu image, but installs the Apache web server and your application, as well as the configuration details needed to make your application run.

You might create your own images or you might only use those created by others and published in a registry. To build your own image, you create a Dockerfile with a simple syntax for defining the steps needed to create the image and run it. Each instruction in a Dockerfile creates a layer in the image. When you change the Dockerfile and rebuild the image, only those layers which have changed are rebuilt. This is part of what makes images so lightweight, small, and fast, when compared to other virtualization technologies.

A container is a runnable instance of an image. You can create, start, stop, move, or delete a container using the Docker API or CLI. You can connect a container to one or more networks, attach storage to it, or even create a new image based on its current state.

By default, a container is relatively well isolated from other containers and its host machine. You can control how isolated a container's network, storage, or other underlying subsystems are from other containers or from the host machine.

A container is defined by its image as well as any configuration options you provide to it when you create or start it. When a container is removed, any changes to its state that aren't stored in persistent storage disappear.

Example docker run command

The following command runs an ubuntu container, attaches interactively to your local command-line session, and runs /bin/bash .

When you run this command, the following happens (assuming you are using the default registry configuration):

If you don't have the ubuntu image locally, Docker pulls it from your configured registry, as though you had run docker pull ubuntu manually.

Docker creates a new container, as though you had run a docker container create command manually.

Docker allocates a read-write filesystem to the container, as its final layer. This allows a running container to create or modify files and directories in its local filesystem.

Docker creates a network interface to connect the container to the default network, since you didn't specify any networking options. This includes assigning an IP address to the container. By default, containers can connect to external networks using the host machine's network connection.

Docker starts the container and executes /bin/bash . Because the container is running interactively and attached to your terminal (due to the -i and -t flags), you can provide input using your keyboard while Docker logs the output to your terminal.

When you run exit to terminate the /bin/bash command, the container stops but isn't removed. You can start it again or remove it.

The underlying technology

Docker is written in the Go programming language and takes advantage of several features of the Linux kernel to deliver its functionality. Docker uses a technology called namespaces to provide the isolated workspace called the container. When you run a container, Docker creates a set of namespaces for that container.

These namespaces provide a layer of isolation. Each aspect of a container runs in a separate namespace and its access is limited to that namespace.
